About the Opportunity:

The Robert J. & Nancy D. Carney Institute for Brain Science is committed to supporting research and facilitating collaborations in brain science across the Brown University community and beyond. Our mission is to promote discovery and innovation in brain science by supporting a diverse community of experimentalists, theorists, engineers, and clinical scientists. We do this by recruiting and retaining world-class faculty, creating an outstanding collaborative training environment, seeding innovative projects, supporting collaborative teams, and raising the visibility and reputation of Carney researchers.

The Carney Institute for Brain Science houses three Core Facilities: the Fluid Biomarker Laboratory (FBL), the Magnetic Resonance Imaging Facility (MRF), and the Rodent Behavioral Phenotyping Facility (RBPF). This position provides financial and administrative support for all three facilities (50% for FBL, 30% for MRF and 20% RBPF).

Responsibilities:

The position processes financial transactions primarily performed in Workday in support of the mission of the Core Facilities. The Financial and Administrative Coordinator will have a strong working knowledge of the Brown University applicable policies and protocols. The position is expected to be customer focused and responsive to requests as they arise. This position will also serve as the key point person for monthly and ad-hoc financial reporting. In addition, the Financial and Administrative Coordinator is also responsible for high level administrative support. The incumbent manages scheduling for the facilities and coordinates appointments with large groups. Additional responsibilities include providing meeting and event support, inventory management, and supporting maintenance and tracking of informational assets.

Qualifications:

Education and Experience
  • Associate’s degree and 2-3 years of related experience, or equivalent combination of skills and experience.
  • Experience as an office manager, office clerk, front office manager or similar.
  • Experience processing and tracking financial transactions.
  • Experience in an academic setting preferred.
  • Knowledge of Workday preferred.
Job Competencies
  • Excellent administrative and organizational skills
  • Proficient in financial reporting and spreadsheet applications
  • Demonstrated proficiency with Excel, including pivot tables, formulas, spreadsheets, and databases
  • Proficiency in office software including Google Workspace or Microsoft Office, Acrobat, and Zoom
  • Customer service experience with a strong service-minded philosophy
  • Ability to problem-solve and troubleshoot issues when appropriate
  • Ability to organize and prioritize workload in a multi-tasking environment while maintaining careful attention to detail
  • Excellent communication skills, both verbal and written
  • Ability to handle confidential information with discretion
  • This position requires a strong commitment to promoting diversity
