Administrative Analyst - Nursing



Job Summary

The Administrative Analyst for The Valley Foundation School of Nursing (TVFSON) works under the direction of the Department Chair and is responsible for coordinating various projects including managing regulatory compliance/accreditation reports, clinical onboarding, clinical practicum contracts management, and administrative support for the department of Nursing. The Administrative Analyst oversees, gathers, and accurately analyzes all data related to regulatory compliance, onboarding, and contract management. The incumbent has broadly delegated authority for administrative functions, implementing procedures for BSN, MSN and DNP accreditation, and works collaboratively with staff in the College of Health and Human Sciences and the University as needed.

Key Responsibilities
  • Maintain complete archives, demographic data, and recordkeeping for reporting as required for SJSU program reports for the California Board of Registered Nursing (BRN), the Western Association of Schools and Colleges (WASC), and the Commission on Collegiate Nursing Education (CCNE)
  • Maintain Skyfactor database for BSN, RN-BSN, Masters and DNP exit, alumni, and employer surveys. Ensure database is current, accurate
  • Maintain communications with department administrators, coordinators, faculty and students. Interface with personnel in the College of Health and Human Sciences, and the University as required
  • Act as the liaison between clinical agencies and SJSU contracts office and track contracts and clinical affiliation agreements
  • In partnership with the Assistant Director, work directly with clinical agencies to place students in their clinical rotations
  • Maintain Facilities Central on boarding documentation
  • Interface with clinical agency staff concerning required documents needed for practicums
  • Collaborate with Assistant Director in managing contracts
  • Organize and maintain contract management and timeline within the School of Nursing and the University Contracts Department
Knowledge, Skills & Abilities
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist
  • Ability to draft, compose and appropriately format correspondence and standard reports
  • Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies
  • Ability to perform accurately in a detail-oriented environment
  • Ability to be fully functional in all technical aspects of work assignments
  • Professional interface with faculty, University personnel and clinical agency partners for contract management
  • Strong oral and written communication skills. Must possess excellent customer service and public relations skills
  • Thorough knowledge of office methods, procedures and practices; English grammar, business writing, punctuation and spelling
  • Skilled in training for all SJSU Nursing student admission related databases (i.e. Skyfactor, Filemaker Pro, PeopleSoft)
  • Skilled in training for all SJSU Nursing student department criteria related databases (i.e. CastleBranch)
  • Understanding of information required for reporting for the BRN, WASC, and CCNE
  • Working knowledge or ability to develop understanding of the various databases used in the department
Required Qualifications
  • A bachelor's degree and/or equivalent training
  • Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
  • Experience managing and coordinating a complex office
  • Demonstrated experience tracking, organizing and distributing documents, including managing and filing documents electronically
  • Demonstrated excellent written and communication skills
  • Experience handling confidential information
  • Demonstrated working knowledge of MS Access and Adobe Acrobat


Compensation

Classification: Administrative Analyst/Specialist - Non Exempt
Anticipated Hiring Range: $5,029/month - $5,200/month
CSU Salary Range: $3,518/month - $6,791/month
