REPORTS TO: President and Dean

STATUS: Full-time, Exempt

RANGE: $68,000 – $75,000


SUMMARY: Founded in 1901, Brooklyn Law School is a distinguished, independent law school located in Downtown Brooklyn, New York. The Law School is searching for an Executive Assistant to the President and Dean of the Law School. The Law School’s size, vibrant employee and student population, and commitment to training the next generation of lawyers and promoting social justice, will offer a candidate the opportunity to develop and diversify practical skills and participate firsthand in operating a successful educational institution. This highly visible position supports the Dean in the daily management of the office.

The Executive Assistant is a member of a team that supports the Deans’ suite of administrators and the rest of the Law School community. The Executive Assistant should enjoy engaging with staff, students, faculty, trustees, and other constituents. The Executive Assistant must also be detail-oriented, a self-starter, and able to multitask in a fast-paced environment. Ability to handle many competing requests with timeliness, accuracy, good humor, discretion, and professionalism is essential.

The Executive Assistant organizes and performs administrative work delegated by the Dean and may serve as backup to the other executive assistants who work in the Dean’s suite for other administrative officers. The Executive Assistant manages the Dean’s high-volume schedule, ensuring that all necessary logistical and travel arrangements are completed, and that all necessary briefing materials are provided in a timely manner. The executive assistant screens and routes correspondence and calls; provides administrative support for select events and works closely with executive assistants of other senior officers of Law School.

The Executive Assistant must understand the need for and maintain confidentiality and discretion. The Executive Assistant must be able to quickly grasp the content of meetings and correspondence, and deal knowledgeably, confidently, and effectively with colleagues, visitors, and guests. Accuracy, attention to detail, and the ability to prioritize and follow through on tasks are critical.


Education/Skills Requirements

Required:

• Associate degree

• A minimum of five years of progressively responsible experience in providing administrative support to a senior executive at a comparable organization.

• Experience in an academic setting is strongly preferred.

• Prior experience in calendar management for an executive or group.

• Exceptional interpersonal, oral, and written communication skills including the ability to collect, synthesize, and summarize information.

• The ability to multitask and prioritize in a fast-paced environment and meet deadlines with minimal supervision.

• A demonstrated commitment to diversity and an inclusive working and learning environment.

• Proficiency in Microsoft Office suite including Word, Excel, and PowerPoint, Outlook, and various virtual meeting platforms such as Zoom.

Preferred:

• Experience working in higher education is strongly preferred.

This is an exempt position requiring the time commitment necessary to satisfactorily complete job requirements. It is generally an in-person position, unless otherwise agreed to by the Dean. Hours are Monday through Friday, 9:00 am to 5:00 pm, 40 hours/week. Additional hours, including occasional evenings and weekends may be required, depending on the needs of the Law School.
