Job Description Summary
The Development and Operations Coordinator (Coordinator) will play a key role welcoming, recognizing, fostering internal communication among, and making space reservations for Penn Museum staff, and ensure high-level execution of internal and external group meetings coordinated by the Executive Director of Advancement and the Chief Operating Officer, including those of highest leadership volunteers. Duties include coordination and dissemination of several Museum calendars; logistical and note-taking support for all Development-supported volunteer groups as well as the COO's Penn and Museum meetings, and calendar and administrative support to the Executive Director of Advancement and Chief Operating Officer.
The Coordinator's areas of personal responsibility include managing space reservations across the Museum for staff and select visiting groups; assisting with onboarding coordination for new staff; managing the annual recognition event for staff celebrating milestone years of service; and updating the Museum's internal website (iWeb) and the documents linked there. Special projects include assistance with large capital projects and wayfinding updates, and, in 2023-24, coordination of a major CRM system transition.
The Coordinator will also serve in a backup support role to the Williams Director as needed when the Executive Assistant is away from the Director's Office.
Job Description
Job Responsibilities
- Development Dept Support: Guest welcome at major events and
leadership volunteer meetings, maintenance of donor and prospect
records, mailing support, updating mailing lists, inventory
maintenance for computer equipment and general office supplies,
note taking; meeting materials preparation, travel arrangements,
and calendar management for EDA.
- Operations Dept Support: Coordinating onboarding and training
for new staff, maintaining employee information on iWeb updated,
sending All Staff weekly email, maintaining museum-wide events
calendar up to date, process room reservations in Altru submitted
through museum's internal system, maintain recurring meeting
reservations in Altru, maintain communications regarding events to
multiple departments, calendar management for COO.
- Special Projects: Support the departments with special projects
such as the annual All Staff Recognition Award Celebration, the All
Staff Social, the Holiday party and the system
transition.
Qualifications
- High School Grad/GE Degree, and 5 to 7 years of experience or
equivalent combination of education and experience is
required.
- BA/BS and experience in a cultural institution
preferred.
- Ability to establish objectives, set performance standards, and
organize a successful approach to achieving results.
- Demonstrated ability to work with significant autonomy and
proactiveness, and collaboratively, as part of a goal-oriented
team.
- Excellent organizational, interpersonal, and impeccable
communication skills, both oral and written.
- Strong computer literacy including mail merge, spreadsheet
management, and high proficiency in database entry and reporting
required; knowledge of Salesforce and/or Blackbaud's web-based
Altru software preferred.

Targeted Pay Range
- $20.45-$22.00 hourly. Salary offers are made based on the
