Administrative Assistant

Description

The Administrative Assistant for the William R. Harvey Leadership Institute (WRHLI) will provide administrative and clerical support to the William R. Harvey Leadership Institute. The successful candidate reports to the Director of the William R. Harvey Leadership Institute.

Duties and Responsibilities

The duties and responsibilities listed below are representative of the knowledge, skill, and or abilities required for a seamless transition into this position. The successful candidate will be expect to:

  1. Perform general office tasks including answering the phone, scheduling meetings/calendar events, greet visitors, file paperwork, maintain databases and records, update bulletin boards, WRHLI publications, website, assist Leadership Fellows, students, faculty and staff.
  2. Order and maintain office stationary supplies and inventory, copier/printer ink and paper, computer laboratory equipment monitors, printers and personal computer stations.
  3. Prepare and track purchase order requisitions, invoices, and other documents relative to the WRHLI budget. Use Excel or other software to prepare budgetary spreadsheets.
  4. Prepare reports, memos, letters, financial statements and other documents, using word processing and/or spreadsheet software.
  5. Communicate with staff in other departments to ensure effective and efficient processing of office documents.
  6. Schedule and reserve the use of facilities for WRHLI activities and events.
  7. Pick-up, copy and deliver documents to appropriate offices on campus.
  8. Report Academy Building WRHLI facility maintenance issues and track completed jobs.
  9. Provide administrative and secretarial support for all WRHLI activities and events to include Induction Ceremony, Graduation Ceremony, High School Leadership Summit, Leadership Conference, and Meet The Leaders Series….etc.
  10. Performs other duties as assigned for the betterment of the William R Harvey Leadership Institute and Hampton University.
Requirements
  1. Must possess professional interpersonal and organizational skills.
  2. Must possess strong verbal and written communication skills while interacting with a diverse population of constituencies to include Leadership Fellows, students, faculty, staff, administration and the public.
  3. Maintain confidentiality, discretion and professionalism at all times.
Qualifications
  1. Preferred associates degree with administrative and clerical experience.
  2. Some college and 3-years of administrative and clerical experience and or certification training, or an equivalent combination of education and experience.
  3. Skilled in the use of Microsoft Office Suite and Apple Applications
