Job Description Summary
The OFSL Coordinator under advisement of the Director, is responsible for the leadership programs implemented within the fraternity/sorority community at the University of Pennsylvania. These programs will be for undergraduate membership (approximately 3000), the undergraduate chapter officers, the Intercultural Greek Council (IGC), the Interfraternity Council (IFC), the College Panhellenic Council (PHC), as well as other joint Greek umbrella organizations. The Coordinator is directly responsible for the advisement of the Panhellenic Council (PHC) including the annual Primary Recruitment Process. The Coordinator will continue existing and develop future programs within the OFSL Leadership Model centered on the Social Change Model of Leadership Development, as well as the promote the university and national organization leadership programs. The Coordinator provides detailed planning and support for many of the annual or ongoing programming initiatives. They are part of the leadership community and serve as an advisor to a cluster of fraternities and sororities from all councils.

Job Description

Duties:
  • Advises one of three governing councils including all officer positions and advisor to a cohort of fraternity and sorority chapters from all three councils (IGC, IFC, PHC).
  • Organizes all leadership development programs and retreats including negotiations for space contracts and booking retreat site, coordinating student registration, arranging transportation, coordinating the event schedule, and preparing name-tags, materials, notebooks, registration lists as needed.
  • Assists with the chapter accreditation program by organizing and creating processes to support the chapters and advisors (updating advisor logs, collecting attendance records, creating chapter and advisor resources, etc.).
  • Organizes the annual OFSL Awards Ceremony including coordination of award packet review, ordering of awards, negotiations for space contracts and booking event space, arranging food and beverage, ensuring appropriate decor/theme (florals, linens, color schemes, etc.) and other awards duties.
  • Coordinates monthly meetings of OFSL associated bodies/committees/officers (Officer Trainings and Series, Council Transitions, Presidents' Series, House Manager's Meetings, etc.) including conferring with the program staff as appropriate on times, communicating with the committee, contracting for any necessary catering, and preparation of all materials for the meetings.
  • Manages event registration submissions for OFSL groups and coordinates a process for larger events (Homecoming, Fling, Alumni Weekend, etc.) by tracking registration and communicating with chapters, advisors, and university offices.
  • Keeps track of event the finances for the events/projects assigned by maintaining a budget with support from the Administrative Coordinator.
  • Perform additional duties as assigned.


Qualifications:

A Bachelor's degree is required, a Master's degree in College Student Personnel, Higher Education/Student Affairs or related field is highly preferred. Experience in student personnel or a commensurate field is preferred. A familiarity with educational goals, developmental and social needs of fraternity/sorority members and their organizations is essential. Knowledge of Greek-letter organizations/systems (NIC, NPHC, NPC, NAPA, NALFO, and MGC umbrella organizations as well as FIPG) is required and membership in a Fraternity or Sorority is highly desired. Familiarity with the principles and practices of student growth and development, as well as organizational dynamics and culture are required. It is necessary that this person be a meticulous planner with great attention to detail and organized in their record keeping. The ability to look forward, anticipate next tasks and plan ahead is crucial. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends. A strong aptitude for public relations is helpful, including the ability to communicate effectively, both orally and in writing. Ability to manage multiple projects and work assignments from OFSL staff.
