The Division of Interventional Radiology is seeking aSenior Administrative Coordinatorwho will provide complex administrative and project support to the faculty members including the division Chief, PA’s, Neurointerventional Radiology and other staff. This individual should demonstrate excellent oral, written and interpersonal skills in a highly professional manner. Use interpersonal skills to handle sensitive and confidential situations, and to interact with diverse groups of people. Demonstrate ability to prioritize and organize work to meet priorities.
Specific Duties & Responsibilities- Use computers, software, and online resources in a highly proficient manner to carry out duties and responsibilities. Relevant software packages include SAP, Adobe Acrobat Pro, Microsoft Outlook, Word, Excel, PowerPoint.
- Use Microsoft office Suite (Word, Excel, PowerPoint) to assist faculty in preparing professional quality documents, manuscripts, articles, spreadsheets and presentations. Assure all documents are proofed and grammar checked, punctuation and spelling are corrected as needed.
- Answer, screen, direct and manage incoming calls, relaying messages and independently handling routine calls as able. Maintain appropriate levels of discretion and confidentiality in interactions with colleagues, internal and external contacts and visitors.
- Process purchase orders, travel reimbursements, vendor setup, invoice payments and order office supplies for the division in a timely manner. Track completion of all initiated SAP transactions and work with Accounts Payable as needed to resolve billing and related issues.
- Participate with organizing committee and CME in coordinating the Interventional MRI Symposium. This role includes contacting & communicating with speakers and obtain grant support from outside vendors.
- Coordinate divisional events such as IR marketing educational programs, the annual SIR faculty reception, farewells and other events that may arise including reserving locations, ordering food, etc.
- Assist with recruitment of research fellows and research staff.
- Place purchases orders, shopping carts, and pay invoices using SAP.
- Prepare and edit correspondence for the faculty.
- Assist with publication submissions, PubMed, etc.
- Acts as the meeting planner, including technical assistance with teleconferences and webinars, prepares materials, slides, etc.
- Arranges multicenter collaborative conferences.
- Coordinates travel for national and international meetings.
- Independently manage faculty calendars: organize high-level meetings, make appropriate arrangements for meetings, compile and prepare materials, confirm meeting details, assist with communication and other details as needed, and prioritize meeting requests and response times.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Five years progressively responsible administrative experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester
