The Associate Director will be an integral member of the Admission Office at the Pepperdine Graziadio Business School, responsible for managing the day-to-day operations of the department, supervising a team, leading the documentation of business processes, as well as providing leadership, oversight and project management. The Associate Director will play a key role in the development and administration of business practices, admission processes, audit reports, and problem solving key issues related to application data/policies/procedures. This position will lead efforts related to staff development and coaching as well as work closely with the Director to develop strategies for department efficiencies, systems optimization and enhancements.

Duties

  • Manage day-to-day operations including workflow, application processing, and inbox management. Ensure high levels of customer service. Review and evaluate special cases/populations. Streamline and maintain overall efficiency in processing to ensure business practices and policies align with department and School goals. Serve as a liaison to third-party vendors. Assist with maintenance of the website and catalog.
  • Manage a team. Prioritize tasks and manage team projects. Create an inclusive and collaborative team-oriented environment. Lead all aspects of staff supervision such as hiring, assessment, coaching, development, team-building, as well as approving leave requests and timesheets.
  • Serve as a backup system administrator and technical expert for BusinessCAS application, PeopleSoft (SIS), and Etrieve (imaging) systems.
  • Participate in professional development opportunities. Active participation in committees, both internal and external to the school/university.
  • Lead cyclical training sessions for internal and external stakeholders. Manage assigned projects and initiatives.
  • Develop and maintain collaborative relationships with enrollment partners, PGBS Systems, and Information Technology. Foster new relationships as needed for streamlined processes for admission and enrollment.
  • Develop and maintain department assets such as queries, workflows, Standard Operating Procedures, operations calendar, etc. Manage system documentation, upgrades, testing, and troubleshooting. Responsible for ensuring necessary data transfers between application, SIS, and Imaging systems. Become knowledgeable in all aspects of SIS and imaging systems to ensure they are being optimally used to their fullest capacity.
  • Perform other duties as assigned.

Skills and Qualifications

Required: Bachelor's degree and a minimum of 7 years of progressive admissions and/or higher education experience. At least 3 years of supervisory experience. Experience and understanding of admission data, cycles, and systems. Demonstrated leadership skills and team-building abilities. Ability to work independently, take initiative, and be self-motivated to perform tasks with minimal supervision. Service orientation and commitment to high-level customer service. Excellent project management skills. Demonstrated ability to prioritize and multitask in an outcomes-driven environment. Demonstrated exceptional organizational skills and attention to detail. Strong verbal and written communication skills. Ability to exercise sound judgment, discretion, and confidentiality. Technical knowledge of SIS, CRM, and Imaging systems. Working knowledge of Google and Microsoft Suites. Proficiency in web-based systems and applications.

Preferred: Masters's degree; at least 5 years of supervisory experience. Proven track record of excellent leadership skills and ability to lead in a fast-paced education/administration environment. Advanced knowledge of PeopleSoft Student Information System. Direct experience with imaging systems.

This is a Regular, Exempt, 40 hour per week position. The Admission team is currently on a hybrid schedule.

Expected Pay Range: $72,250 - $85,000 per year 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
