Summary:
The Assistant Director of Academic Operations serves as the project manager for Educational Affairs and is responsible for the life cycle of projects from creation to evaluation. As a key support position to the Assistant Vice President of Education, the Assistant Director of Operations proactively manages issues related operational procedures. In addition, they oversee daily operations in the Office of Educational Affairs and prioritizes projects with administrative support staff. The Assistant Director of Academic Operations serves as a liaison with key stakeholders on facilities usage and projects, technical applications for room scheduling and adjunct scheduling, and Enterprise Resource Planning (ERP) system processes and projects.

Required Qualifications:
  • Bachelor’s degree.
  • Minimum of seven (7) years’ experience in an educational setting.
  • Minimum of two (2) years’ supervisory experience.
  • Strong communication and interpersonal skills.
  • Ability to manage cross-functional projects and initiatives.
  • Demonstrated commitment to student success.
  • Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

  • Grant budget and reporting experience.
  • Experience with Federal and State laws that impact higher education.
  • Bilingual in Spanish and English

Pay Rate: $78,000 to $82,000/annual

Summary of Essential Functions:
Academic Operations 40%
  • Oversees daily operations in the Office of Educational Affairs and prioritizes projects with the department administrative support staff.
  • Provides direct support to the Assistant Vice President of Education on issues related to facilities, faculty collective bargaining agreements, academic dishonesty process, grants, human resources, institutional policies, and operational procedures.
  • Serves as the Educational Affairs liaison for associated technical applications (room scheduling, adjunct scheduling) and facilities usage and projects including faculty office assignments.
  • Provides technical assistance and support for data requests by collaborating with the Educational Affairs Business Analyst and IEPR.
  • Communicates relevant changes in Educational Affairs related standards, guidelines, and regulations with key stakeholders across the college.



Strategic Leadership/Project Management - 25%
  • Manages projects by creating plans, outlining action items, and developing timelines. Defines deliverables and budgets. Provides direction to project team participants and holds teams accountable to deadlines and outcomes. Delegates as needed in order to achieve project goals, objectives and deadlines. Communicates with stakeholders during key phases of projects, including celebrating successes and identifying root causes of challenges
  • Provides technical assistance and support for processes and projects related to the ERP by collaborating with the Educational Affairs Business Analyst.
  • Handles special projects for the Educational Affairs office and the Assistant Vice President of Education.
  • Builds cross-functional relationships to support a positive and collaborative culture.

Personnel Management - 25%
  • Directly lead, manage, support and empower two Education Affairs Business Analysts to job and career success at the College of Lake County (FTE 2.00).
  • Coach, mentor and develop members of the in collaboration with the Assistant Vice President and other Educational Affairs leaders.

Other - 10%
  • Participate on strategic and/or functional cross-departmental teams, committees and councils at the request of the Assistant Vice President.
  • Participate in professional associations/organizations and educational activities that enhance professional competencies, knowledge, business and interpersonal skills. Remain knowledgeable of current state and federal laws, regulations, and trends in the academic administration.
  • Perform any and all other duties assigned that support the mission, vision, values and strategic initiatives of College of Lake County and goals of the Educational Affairs unit.
