Essential Duties and Responsibilities
The Business Officer I and Executive Assistant provides primary business officer support to the Honors College, including guidance and counsel and advanced support to the Dean in the areas of Business Administration, Financial Management/Budget, Human Resources Management, Information Analysis/Decision Making, and Communication.
The person in this position supports the Honors College in the following areas:
- Business Administration; for example by
- Organizing/managing public events;
- Managing the thesis submission, binding, and distribution process;
- Overseeing the reservation process for rooms in Appalachian Hall;
- Tracking admissions, housing, thesis, and student funding data and serving as a resource for student numbers management in these domains;
- Financial Management/Budgeting; for example by
- Reconciling all funds related to the college;
- Managing purchasing for the college;
- Processing travel requests and reimbursements for faculty, staff, and students;
- Reviewing, awarding, and notifying all international scholarship applications and research funding requests for faculty and students;
- Initiating and processing faculty teaching contracts and all summer session orientation and advising contracts;.
- Human Resources Management; for example by
- Managing the hiring process for all student employees in the college;
- Maintaining records for time sheets of staff and student employees;
- Leading student teams to manage office functions and events.
- Information Analysis/Decision Making; for example by
- Prioritizing and negotiating meeting, timeframe, and deadline needs of the Honors College;
- exercising delegated authority to speak and write on behalf of the Honors College Dean on selected matters;
- Using judgement and independence to make changes to the Dean’s schedule and prepare documents in preparation for meetings;
- Serving as a sounding board and confidential advisor to the Dean;
- Communication; for example by
- Leading college staff on tasks relating to budget assessment, admissions process updates, advancement initiatives, and calendar year planning;
- Preparing agenda items and organizing documents for Honors College meetings;
- Responding efficiently and effectively to student, visitor, faculty, and other department requests for information;
- Acting as a liaison with the development office and supporting the Dean in advancement initiatives
- Collaborating with relevant campus units on budgetary issues.
