Position Summary:

The Financial Aid Office processes the free application for Federal Student Aid (FAFSA) to determine the financial aid eligibility for students, while also providing in depth counseling to students and families on their educational costs and funding options. Along with conducting the specific duties listed below, the Assistant Director of Financial Aid Processing assumes the Financial Aid Director duties in the office during the absence of the Director and is primarily responsible for managing the daily customer service operations of the office, along with performing technical duties related to the processing of federal, state, and institutional aid. The Assistant Director of Financial Aid Processing will supervise two financial aid counseling positions. The Assistant Director of Financial Aid Processing position reports directly to the Director of Financial Aid.

Job Description:

Essential Functions and Responsibilities:

Program Administration/Management
  • Responsible for daily customer service operations.
  • Assumes the Financial Aid Director duties in the office during the absence of the Director of Financial Aid.
  • Assist Director with hiring, training, and evaluation of financial aid staff.
  • Primary responsibility for oversight of Satisfactory Academic Progress review each term, including processing of appeals and monitoring student degree plans.
  • Second review for all Federal Return of Funds calculations for official and unofficial withdrawals and back up on first review.
  • Primary responsibility for reviewing and updating all Consumer Information on financial aid website, correspondence, notifications, etc.
  • Review professional judgement appeals including dependency overrides, reconsideration of need, and cost of attendance adjustments with assistance from the Director.
  • Process consortium agreement requests.
  • Assist Director with ensuring that office is in compliance with federal regulations, including writing, reviewing and updating institutional and office policies.
  • Act as backup on counselor caseloads as needed
  • Assistant Director of Financial Aid Processing will serve as the single point of contact (SPOC) for Fort Lewis College
  • Overall supervision of website, review on a regular basis, and update as needed
  • Supervises two financial aid counselor positions.
  • Maintains knowledge and awareness of digital accessibility including the American with Disabilities Act and Section 508.
Outreach
  • Provide financial aid workshops and presentations to on-campus and off-campus audiences
  • Coordinate and train other staff members to do workshops and presentations
  • Produce outreach materials related to financial aid and coordinate all outreach efforts to continuing and prospective students
Campus Liaison
  • Acts as primary Financial Aid Office liaison to campus programs, including TRiO programs.
  • Represents Financial Aid Office on college committees
    • Financial Aid Appeal committee chair
    • Institutional Scholarship Appeal committee chair
    • Academic Cares Team
    • Others as assigned
Customer Service
  • Monitor customer service needs for prospective, new, and continuing students via telephone, email or in person on behalf of the Financial Aid Office.
  • Assist with professional development and training opportunities for staff
  • Assist families with free application for federal student aid (FAFSA) completion and completion of the verification process
Counseling
  • Provides in-depth financial aid counseling on the financial aid application process (FAFSA), eligibility requirements, and scholarships
  • Provides financial aid counseling for those with sensitive circumstances
Technical Duties
  • Assist with setup, testing and sending of email, paper and web notifications to prospective and current students.

Required Education, Specialized Skills and Experience:
  • Degree
    • Bachelor’s degree from an accredited college or university
  • Experience
    • Minimum 2 years’ experience in a managerial role in education or other related professional field
    • Previous experience interacting with a culturally and ethnically diverse population of students, faculty or staff
  • Skills
    • Demonstrated experience in customer service via phone, email or in person
    • Strong working knowledge of systems and data processing techniques in an automated student information system
    • Ability to analyze and interpret federal, state and institutional policies and regulations
    • Ability to multi-task in a fast paced, constantly changing environment
    • Excellent communication – written, interpersonal, and public speaking
    • Strong working knowledge of Microsoft Office products, including Word, Excel and Outlook
    • Organized and detail oriented
  • Must not be in default on a Federal Direct Loan or owe an overpayment on a federal grant with the U.S. Department of Education
Preferred Education, Specialized Skills and Experience:
  • Experience working in higher education in financial aid or other enrollment services departments
  • Problem solving in a policy-driven context
  • Bilingual
  • Understanding of basic IRS tax information and tax filing requirements
  • Experience managing websites
  • Banner operating system (or other higher education operating systems)
  • Experience with budget management
Reports To / Supervisory Responsibility:

This position reports to the Financial Aid Director. This employee has two direct reports.

  • Moderate noise (i.e. business office with computers, phone, and printers). Walls do not go all the way to ceiling, so offices are not private and noise from other offices can be heard.
  • Ability to sit at a computer terminal for an extended period of time.

Travel:

Professional development is very important in this position. There may be training opportunities available to the employee that would require travel. Typically, 1 – 2 trainings a year that would require travel.

  • Typical work hours are 8:00 am – 5:00 pm Monday through Friday. Some nights and weekends will be required and are exempt from overtime.
Compensation

T he salary range is $51,000 to $56,500, plus a comprehensive benefits package .
