City Colleges of Chicago (CCC) , the largest community college system in Illinois, is made up of seven colleges and five satellite sites, providing more than 70,000 students each year access to a quality, affordable education.

The Academic Systems and Student Records Department manages the technological needs of Academic & Student Affairs to ensure CCC’s academic policies, business processes, academic programs, and reporting requirements are effectively supported by various systems including PeopleSoft Campus Solutions 9.2, Navigate, CollegeNET, and various CCC Portals.



PRIMARY OBJECTIVE

Reporting to the Associate Vice Chancellor - Academic Systems, Records, & Policy, an Academic Systems Analyst performs technical and data analysis duties, developing business and functional requirements designed to support academic operations and ensure that academic processes and systems provide users with accurate students records and program data.

An Academic Systems Analyst works on projects to improve academic/business processes through the use of technology, coordinating with college administrators, IT staff, and vendors in the upgrading and installation of new systems, system configuration and set up; testing and documentation of modules within Campus Solutions, the CCC Portals (student, advising, and faculty), and related systems. Performs related duties as required.

ESSENTIAL DUTIES

· Provides functional and technical expertise to support and maintain CCC’s academic and student support systems.

· Works with Registrar’s Office, IT staff and key administrators to ensure the accuracy and integrity of student records and academic program data.

· Leads and participates on projects relating to new systems or upgrading of existing systems including system testing and validation for enhancement and customization of academic systems; ensures projects move from conception to completion within established timelines.

· Oversees and works on projects to update and maintain Campus Solutions with a focus on the Student Records, Transfer Credit, Academic Advising, and Curriculum modules.

· Applies knowledge of systems, policies, academic processes, and data flow to improve data quality and reports, enhance current measures, and develop solutions to new measurement needs.

· Provides recommendation to improve the functionality of PeopleSoft Campus Solutions system and other related systems, in alignment with policy and business processes.

· Works with users/business partners to assess feasibility of requests, define business needs and deliverables, and develop solutions to meet data and reporting needs and requirements.

· Works with IT staff and key stakeholders to ensure applications developed and processes created return predictable and accurate results in support of CCC’s policies and goals.

· Evaluates/tests system updates for key academic systems, requiring evaluation, development, testing, implementation, documentation, research, and data analysis.

· Analyzes and evaluates curriculum changes and changes in academic programs to configure and maintain the accuracy and reliability of academic requirements and associated reports.

· Provides troubleshooting, root cause analysis, and issue resolution for PS Campus Solution modules.

· Leads/consults on the development and execution of testing related activities to diagnose, test, and solve problems or find improvements.

· Verifies/tests programs and applications utilizing appropriate tests plans, data, and procedures.

· Builds and maintains the catalog of academic programs, program statuses/colleges, and program (completion) requirement for all Careers and Programs in the Campus Solutions 9 system.

· Maintains and updates a variety of data tables and ensures appropriate and correct data is maintained in reporting databases used in District-wide analysis and decision making.

· Develop and maintain documentation, including program operating procedures, program changes and other relevant information to accompany designs and changes to code developed or modified.

· Uses PS Query tools to create and run queries to ensure operational compliance, data or system validation, or to detect and isolate problems.

· Manages department email boxes and assists to resolve requests.

· Assist with supporting institutional compliance with federal, state, Clearinghouse, CCC systems, regulations, and policies.

· Assist with commencement activities.

· Must be able to occasionally work evenings and weekends on projects and/or IT system upgrades as needed.

· Must be able to travel to colleges across the district as needed.

· Performs other duties as assigned.

QUALIFICATIONS

· A Bachelor’s Degree from an accredited college or university in Business Administration, Information Technology, Education, or a related field

· A Master’s degree preferred

· Two years of work experience in higher-level education in the areas of Records, Academic Systems, and/or Curriculum, or in technical system development, as a business analyst or as a student information system administrator

· Experience working with functional user offices

· A combination of education and experience may be taken into consideration based on the applicant’s credentials, provided the minimum degree requirement is met

· Demonstrated experience capturing and modeling/mapping business requirements and working with business partners to assure delivery of quality solutions highly desirable.

· Knowledge of PeopleSoft Campus Solutions 9 and other key systems and applications such as Navigate, Portals, and Degree Map application highly desirable

· Demonstrated knowledge and understanding of relational databases

· Knowledge and understanding of student records (registrar, enrollment management), academic program requirements, transfer credit processes, and student services highly desirable

· Highly developed analytical skills and attention to detail with an emphasis on business process improvement, data analysis and oversight in testing and implementing software patches/upgrades

· Excellent oral and written communication skills with an ability to articulate ideas, findings and technological recommendations in a manner easily understood by stakeholders

· Strong problem-solving skills and ability to recommend appropriate solutions

· Strong project management skills with ability to manage timeline and meet goals

· Strong analytical, research and process-improvement skills

· Ability to work effectively with people with differing levels of technical knowledge

· Responsive and adaptable to a fast-paced environment and fluctuating responsibilities

· Willing and able to work weekends and evenings as needed

· Willing and able to travel to college campuses across the district

· Highly self-motivated and directed

· Proficiency in the use of Microsoft Office (Word, Excel, PowerPoint)
