Position, Department: Admissions Assistant, Student Success & Engagement

Type of Position: Full-time Hourly, Non-Exempt

Work Schedule, Hours per week: Monday-Friday, 8 a.m.-5 p.m., 40 hours per week

Pay Range: $16.50 - $20.63 and determined based on relevant years of work experience.

Pay Grade: 51.51

Position Summary: Responsibilities include assisting applicants complete the application for admission, then reviewing applications to make admission decisions based on Kansas state statute and policies of the Kansas Board of Regents and JCCC. This position enters, verifies, examines, evaluates and reviews complex academic records and credentials of a significant number of applicants using numerous student information systems. Serve as primary professional for the receipt and processing of paper and electronic high school transcripts.
Must be detail oriented, have computer competency and strong communication skills, as this role could require assisting with other admission-related functions, including numerous aspects of student academic record evaluation, data management and testing, imaging and document processing.
This position also entails providing excellent customer service to a diverse community by phone, email, mail, and in person as questions arise from students regarding their admissions status. Communication requirements include the willingness to professionally collaborate with other Enrollment Management departments to provide advisory assistance.
May be expected to work evenings and/or weekends during peak seasons. Works with colleagues in documenting office policies, practices, workflows, and projects including the creation or maintenance of job-related workflow documents, job aids, business practice and training guides.

Required Qualifications: Associate degree. One year of experience working with student records or other confidential materials. Experience in a position requiring significant data entry. Teamwork and experience in a diverse environment.

Preferred Qualifications: Bachelor's degree. Experience working in the admission office at a regionally accredited institution of higher education. Attention to detail, organization, and dependable. Working with Banner or other student software.

Position Details: Job duties include but are not limited to:
  • PROCESS JCCC CREDIT APPLICATIONS FOR ADMISSION AND INBOUND HIGH SCHOOL TRANSCRIPTS - Perform significant data entry to accept and monitor submitted documents. Review applications to make informed decisions on admission status, residency, transcript and assessment test requirements, based on state and college admission policy. Examine, enter, verify, and update complex sensitive academic records/credentials of applicants accurately on the Banner student information system. Utilize information from high school and college transcripts and additional submitted credentials to perform transcript/credential evaluations. Performance is acceptable when: a. Applications are processed in a timely manner so that enrollment goals can be reached. b. Perform duties involving the imaging and document management system, including pre-treating, scanning, indexing, verifying, accessing documents and data. c. Incoming mail is appropriately managed by marking documents as received and scanning materials after review. d. Data entry of graduation date, class rank, ACT scores and un-weighted GPA. e. Manual calculation of GPA if only a weighted GPA or a GPA not on a 4.0 scale is used. f. Conversion of raw GED score to GPA for scholarship awarding. g. Entering the received date and adjusting the student's admission checklist (placement test requirements and other college transcript submission) based on observations from the transcript
  • PROVIDE PROFESSIONAL CUSTOMER SERVICE FOR STUDENTS - Correspond with students about enrollment status, admission decision, or general questions in person, by e-mail, and/or over the phone in an accurate and timely fashion. Troubleshoot and resolve issues preventing students from logging into their student portal account. Address student concerns and work with other offices across campus to resolve issues and serve students. Performance is acceptable when: a. Clarification and education is provided to students on institutional policies and they are familiarized with the online location of procedural forms. b. Student concerns are addressed by working with appropriate offices to resolve issues. c. Courteously address student concerns. Work with other departments across campus to resolve issues, as needed.
  • MAINTAIN GENERAL KNOWLEDGE OF ALL FACETS OF JCCC - Understand and be able to elucidate the college mission statement, general College policies and procedures, academic programs and their admission requirements, and student life related opportunities. Performance is acceptable when: a. Students, faculty, and staff receive the information required. b. The employee can effectively demonstrate said proficiency to supervisor. c. Inquirers are correctly directed when questions exceed general knowledge.
  • COLLABORATE EFFECTIVELY AND PROFESSIONALLY WITH CO-WORKERS AND OTHER DEPARTMENTS - Handle inquiries from other departments with a congenial attitude, promoting a positive teamwork atmosphere. Demonstrate familiarity with other departments' staff to best direct student inquiries. May work with Selective Admissions programs, which entails analyzing documents, figuring GPAs, as well as excellent organizational, written and oral communication skills to collaborate with specific departments. May track and pre-treat high school and college transcripts, following procedural training and guidance of supervisors. Performance is acceptable when: a. Working as part of a team to build a collaborative, supportive atmosphere to excellently serve students. b. Student inquiries are handled efficiently and congenially. c. Inquiries from other departments are handled efficiently and congenially.
