We are searching for an Academic Program Manager to join our staff in the Department of History! In this role you will be responsible for program management for graduate and undergraduate programs. You will provide senior level support for academic programs in the History department, and create, maintain program materials, reports, associated databases, and external communications.

In this role you will gather, prepare, and analyze material for the program and faculty. You will act as a first line resource for prospective student inquires and the application process; you will cultivate and manage relationships to facilitate and expand interdisciplinary programs and both internal and external collaborations.

Core responsibilities include:
  • Offers strategic guidance to the Department Head with regard to our departmental majors and minors and collaborates with faculty in deciding on course offerings
  • Develops and implements plans to recruit majors and to boost enrollments
  • Responsible for comprehensive program management for our undergraduate programs
  • Conducts regular outreach to other departments involved in our interdisciplinary programs and offers presentations and outreach to relevant student groups
  • Answers student questions regarding registration, curriculum and related issues and/or directs students to appropriate contacts or resources
  • Maintains program records, reports, student records and associated databases. Prepares reporting and provides information to faculty, advisor or other departments (i.e. student status, course placement, major declarations, transfer credit review, enrollment etc.)
  • Assists faculty by entering updates to course syllabi registry, scheduling final exams and FCES
  • Coordinates course schedules, room assignments and documenting the academic calendar
  • Manages the course waitlists for faculty and reserve spaces in courses for other colleges within the university
  • Collect and update course descriptions, course catalog, and suggest updates to the website
  • Communicate academic system deadlines or requirements
  • Processes paperwork for faculty & students; missing grade forms, independent study forms, late add forms
  • Assists the faculty & undergraduate director and advisor on event planning relating to undergraduate courses & history majors
  • Catering, media teach, room reservations
  • Proof diplomas for commencement and brochures for the department diploma ceremony & university commencement
  • Plans and organizes department breakfasts and other events that bring together undergraduate students, graduate students, faculty and staff
  • Coordinates publicity of undergraduate programs. Helps publicize departmental majors, minors, and course offerings by working with faculty, sharing information with student groups, or by other means
  • Provide financial support including department procurement card and expense reimbursements
  • May be assigned other administrative tasks within the department
You should demonstrate:
  • Ability to pay close attention to detail; keep and maintain accurate and detailed reports
  • Ability to maintain composure when dealing with difficult situations and/or individuals
  • Ability to meet deadlines, work under pressure and with frequent interruptions
  • Ability to understand and follow directions
  • Ability to prioritize work and handle multiple tasks simultaneously
  • May be required to travel to and work at various locations on campus

Qualifications:
  • Bachelor’s degree
  • Three to five years related experience, prior experience managing an academic area or unit is a plus
