Scope of Job:
Responsible for conducting degree audits and official certification of degrees upon completion to ensure all university and program requirements have been met to award degree.

Description of Duties:
  • Reviews and certifies degrees to ensure all university and program requirements are met to award degree.
  • Monitors and updates student degree audits and academic records for accuracy, completion of degree requirements and communicates degree requirements and deficiencies to students and academic/faculty advisors.
  • Works directly with the Office of the Registrar to ensure that student curricular records and degree plans are accurate and up-to-date. This includes regular verification of changes/updates to programs.
  • Conducts regular data analysis and develops reports for communicating students’ degree completion to respective colleges and programs.
  • Coordinates with academic advisors, faculty, staff and administrators to understand approved degree plan requirements and communicates changes if necessary.
  • Manages multiple system applications to identify, report, and resolve complex problems impacting students’ degree completion and university systems; monitors issues for resolution.
  • Maintains knowledge of academic policies driven by institutional, state, federal, and accreditation regulations, and understands their impacts on the degree audit process.
  • Enforces UTRGV academic policies and ensures that exceptions to policy are appropriately approved and documented.
  • Assists with reviewing the curriculum and requirements for academic programs are accurate and promptly programmed in the degree audit system.
  • Collaborates with university stakeholders to ensure degree audit system functionality aligns with established UTRGV, state, federal and accreditation requirements.
  • Develops and continually expands on a thorough understanding of degree audit system functionality to sustain effective degree audit processes that impact retention and timely degree completion.
  • Acquires knowledge of software systems including but not limited to the student information system, the degree audit system, and the curriculum and catalog management system.
  • Develops, cultivates, and maintains positive working relationships with department staff, faculty members, advisors, and students while clarifying degree requirement concerns and issues.
  • Performs other duties as assigned.

General supervision from assigned supervisor.

Direct supervision of assigned staff.

Required Education:
Bachelor’s Degree from an accredited University.

Preferred Education:
Master’s Degree in a related field from an accredited University.

Licenses/Certifications:
None.

Required Experience:
Two (2) years of experience in an academic environment such as student admissions, registration, academic advising or closely related area.

Preferred Experience:
Experience in performing closely related duties in a higher education setting.

Equipment:
Use of standard office equipment.

Working Conditions:
Needs to be able to successfully perform all required duties. Office Environment; some travel and weekend work is required. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley. Work is performed primarily in a general office environment.

*Work is performed primarily in a general office environment to include hybrid work (subject to change based upon business needs). If the work is performed off campus, high-speed internet and a designated workspace are required.
