Assistant Director of Student Center Operations

About the Opportunity

JOB SUMMARY:

The Assistant Director will report to the Associate Director of Student Center Operations in Event Management, and fall under the Senior Associate Director of Operations. They will be responsible for managing the operations of student space on campus that falls under the Event Management umbrella, primarily responsible for the Cullinane Hall student space and satellite student study spaces. This includes matters involving daily operations, maintenance, safety and security, scheduling/reservations for students, staffing, training, and logistics.

The Assistant Director will help ensure that the student study spaces are run in a professional manner and are responsive to the ever-changing students and community needs in accordance with the mission of the university. There will be instances where this position may be called in to support some instances outside their regular hours of operation, including early mornings, nights and weekends—depending on the events the department is hosting.

The role also provides support to the Curry Student Center operations, including Campus Crossroads, the Game Room, and Operations Desk. The Assistant Director may also be called upon to assist as needed with other major events or programming scheduled on campus. The Assistant Director will work with the Associate Director and the Event Management staff to serve a diverse variety of needs from customers such as university academic and administrative staff, students, and community populations as they access the services and programs of these facilities.

The days of coverage for this position are Monday through Friday. This position requires a great deal of flexibility and will sometimes require hours which include early mornings, late evenings and weekends.

RESPONSIBILITIES INCLUDE:

1. Administrative Duties / Facility Management:
  • Manage the daily operations of the department-run student spaces to ensure facilities operate in a safe, secure and professional manner in accordance to the policies and procedures of the university and Event Management department.
  • Develop and maintain the app (Robin) used to reserve/assign spaces to students & staff.
  • Respond to and/or identify urgent building issues and take immediate corrective and appropriate action with the appropriate internal or external parties during and after operational hours to resolve issues.
  • Oversee and maintain the physical spaces, including submitting work orders for cleaning and repairs, ordering supplies and services for ongoing operation of complex.
  • Assist with the management of capital assets to ensure that building resources are responding to users/student needs.
  • Oversee the department's employee recognition program.
  • As needed, coordinate and review scheduled use of venue space from a daily/weekly/monthly perspective with customers, facilities, scheduling, public safety, as well as other members of event management staff so that communications regarding space usage, event details, room setups and operating hours are clearly communicated in a manner that provides quality customer service.


2. Staffing:
  • Train, coach, and develop part-time student and non-student employees who work in the student study spaces.
  • Develop job descriptions, performance expectations and evaluation tools for employees.
  • Provide timely performance feedback to the student employees.
  • Alongside the Associate Director, devise and deploy semesterly trainings in the areas of professional skill development, safety & security, policies, and operations.
  • Oversee operations and maintain the student staff schedules of the students working in the student study spaces while staying on budget - and supporting Campus Crossroads, the Game Room, and Operations Desk as needed.
  • Approve payroll for all direct staff, assist in other areas of the department as needed


3. Assessment and Benchmarking:
  • Assess and benchmark programs and services as required.
  • Keep active records of student/faculty/staff usage and submit weekly reports on activity
  • Assess and disseminate building use and analysis.
  • Conduct other benchmarking studies as required.

MINIMUM QUALIFICATIONS:
  • Bachelor's degree (master's preferred), with a minimum of 2 years' experience in higher education, hospitality, customer service, operations/facilities management, or a related field.
  • Demonstrated understanding of philosophy, role, and purpose of a student center/union as well as student activities.
  • Strong interpersonal, communication, supervisory, customer service skills, and ability to work well with diverse, globally representative populations.
