Essential functions (job duties):

JOB PURPOSE

Reporting to the Director of Real Estate and Asset Management, the Property Manager is responsible for managing tenant and landlord’s relationships to ensure WSU and WSU tenant’s continued and uninterrupted operation in compliance with lease-related obligations. The Property Manager makes, operational, and financial decisions while working in a collaborative environment with various university departments. Interacts directly with the university staff, landlords, tenants, vendors and community stakeholders and act as University representative in asset management of long-term contractual arrangements of commercial properties.


ESSENTIAL FUNCTIONS

Analyzes and interprets lease agreements and their ancillary documents to ensure proper application/compliance regarding space allocation and use, improvements, maintenance and services. Manages issues resolution and enforces non-compliance when appropriate. Prepares correspondence to landlord and property management companies to resolve discrepancies/disputes. Reviews material issues with Leadership, recommends solutions and provides documents for signoff and approval. Manages interactions with landlords, tenants and internal stakeholders to foster positive relationships through collaborative, solution seeking and cross functional engagement.

Responds to tenant requests/problems in a timely and courteous manner, and generate work orders directed to vendors or maintenance staff. Follows-up with the tenant to ensure satisfactory resolution of the issue. Prepares performance reports and work status reports utilizing work order management and project tracking software. Manages contracts and performance of vendors engaged in property management. Supports contracts development. Provides best practice and benchmarking information. Supports development of processes and procedures. Manages vendors, coordinates contractors and maintenance staff.

Prepares annual operating budget and capital/expense project plan for property. Collects property expense information. Operates within budget and purchasing guidelines.

Conducts periodic inspections of the commercial property and tenant spaces to ensure compliance with leases and the proper upkeep of the property. Records deficiencies and takes the necessary action, within budgetary allocations and approvals to mitigate issues. Supports development and assists in the timely execution of tenant improvements projects consistent with lease agreements, WSU objectives, practices and policies.

Tracks and monitors property use and occupancy; maintains a detail database of WSU occupancy. Manages access to leased properties. Shows properties to prospect tenants. Supports move-in/out activities to ensure compliance with possession/surrender clauses and WSU policies.

Provide functional supervision to student support personnel. Assign and monitor work activities.

Perform other related duties as assigned.

Qualifications:

MINIMUM QUALIFICATIONS


Education

Bachelor's degree

Bachelor’s degree from an accredited college or University with a degree in business, finance, accounting or related field.


Experience

Intermediate (3 to 4 years job-related experience).

Commercial real estate experience in lease administration.


Knowledge, Skills and Abilities

Demonstrated ability to evaluate, interpret and present complex legal and financial information effectively.

Business Acumen: Ability to negotiate contractual agreements for real estate transactions and interfacing with a variety of University, city government and agency officials and external real estate professionals, potential purchasers, sellers, developers and tenants.

Supervisory Skills: Ability to delegate work, set clear direction and manage workflow. Ability to train, develop, assess, and offer feedback to staff members.
