Duties and Responsibilities:
  • Coordinate and complete special or on-going projects/tasks/responsibilities (e.g., coordinate processing of student and/or employee records/forms, close the office; prepare reports; process documents; track/monitor student records/forms; monitor purchase orders).
  • Code, tabulate, and assemble fiscal, statistical, and related data; collect and post information into computer or manual filing system; follow acceptable/standard bookkeeping procedures; collect fees and maintain feel collection records; maintain department records/accounts; proofread documents/written materials; type draft/final correspondence for supervisory staff.
  • Receive office visitors and/or telephone calls; answer routine questions; screen calls/callers; take messages and/or refer to appropriate personnel; pick-up, sort, and deliver mail.
  • Coordinate use of departmental computer systems and enter data accordingly; type standard forms, letters, mailing lists, brochures/materials for publication as well as other documents
  • Operate office machines (e.g., copier, scanner, fax, calculator, personal computer, typewriter).
  • Provides students advice regarding University issues.
  • Assumes responsibility for the delivery of program functions or portions of program activities.
  • May provide administrative activities to assist programmatic support functions (e.g., payroll).
  • May have some assigned duties requiring special training and/or certification.
  • Coordinate activities involving the distribution and receipt of information from departments or
  • units within the assigned area.
  • Coordinate the work of other staff including administrative personnel, student workers, and part-time employees.
  • Supervise and coordinate work schedule for student workers and part-time office staff
  • Assist in creation of clinic speech therapy scheduling
  • Monitor electronic medical records
  • Code and file all patient interactions submitted to third party payers.
  • Serve as liaison between the Department of Communication Disorders and accrediting body site visitors.
  • Serve as point of contact for accreditation consultant
  • Serve as point of contact for Institutional Effectiveness for the Department of Communication Disorders
  • Create and maintain agendas and minutes for all departmental faculty/staff and committee meetings.
  • Assist in creation and preparation of accreditation documentation
  • Plan and attend recruiting events
  • Serve as point of contact for marketing to create and purchase promotional items, videos, etc.
  • Train and orient new staff employees
Knowledge, Skills, and Abilities:
  • Knowledge of basic word processing software and the ability to operate standard PC/PC software applications
  • Knowledge of applicable university policies and procedures
  • Knowledge of general office procedures
  • Knowledge of assigned department forms, rules, etc.
  • Interpersonal skills
  • Oral and written communication skills
  • Ability to review materials and identify discrepancies or mistakes (i.e., proofreading)
  • Ability to perform basic mathematical computations
  • Ability to respond to several demands at one time
  • Ability to coordinate the work of others
  • Problem Solving skills
Minimum Qualifications:

High school diploma or equivalent and three (3) years of general office experience. Specific program-related experience is desired. Education can be substituted for experience.
