Job Description
  • Correspond in writing and assist with proofreading and editing. Correspondence includes but may not be limited to drafting routine messages and expediting urgent, confidential, and important information to appropriate personnel as delegated; drafting and/or editing electronic newsletters, emails, etc.; preparing materials for conferences, special events, etc. as delegated; inputting, revising, storing and retrieving correspondence, charts, tables, and photographs; proofreading or reviewing documentation such as handbooks, written procedures, etc.; and following specified style guidelines while ensuring content is accurate, and free from errors. This position may also help draft large documents by synthesizing data collected from multiple sources and producing relevant reports to the intended audience.
  • Manage assigned calendars. Schedule meetings and appointments as delegated. Maintain timelines and ensure all deadlines are met.
  • Assist with projects across the Division of Student Affairs and serve as point person for events or activities. Schedule and coordinate meeting facilities, equipment, and meals. Plan, develop, schedule, coordinate, and follow through with administrative details for special events/meetings, social events, receptions, and projects, which may be large and complex and which may be on- or off-site. Reserve conference rooms and vehicles.
  • Coordinate travel, lodging, agendas, etc.; and make arrangements such as scheduling and compiling related materials, etc. Book travel reservations (including air, car, hotels, etc.); develop and prepare trip itineraries prior to departure and any other relevant information as needed; compile driving directions and maps; and provide support to management or staff during traveling via telephone, e-mail, fax, or other means. Maintain a master calendar for coordinating all events and travel.
  • Apply understanding of the organization and operation of Student Affairs, and the University to interpret the level of importance and urgency of incoming communication and requests. Independently resolve parent and student concerns and find solutions using perceptive judgment and discretion. Implement actions that are situationally appropriate. Determine the best approach to notify the Vice Chancellor for Student Affairs and leadership team members of sensitive, important or emergency matters.
  • Greet, provide information, answer customer inquiries, and assist visitors (staff, faculty, alumni, campus visitors, and students) using own knowledge of policies and procedures. Address urgent or special requests on an as needed basis to ensure accommodations are made to meet customer demands.
  • Manage a team of front desk student staff performing office support tasks and providing exceptional customer support to visitors and callers. This role hires, schedules, provides ongoing training and development and mentorship to the team of student workers.
  • Perform office management functions which include but may not be limited to making office purchases and follow all related policies and procedures including submissions for monthly processing. Assist with reconciling monthly purchasing cards ensuring cardholder follows the University guidelines when making a purchase and that all documents are accounted for; processing mail; distributing phone lists; issuing employee name badges; maintaining office equipment (fax, copy, etc.); ordering office supplies, business cards, letterhead stationery and envelopes; issuing vendor permits (parking); running errands which may require walking or driving; and providing back-up coverage for issuing and/or maintaining keys.
  • Participate in the planning and implementation of individualized member capture and retention programs
  • As with all positions, involvement with other duties and responsibilities is expected in order to serve and maintain our departmental and Student Affairs mission.
Salary

Range: $50,367-$85,000

GGS Level: 010, Exempt

Shift

40 hours per week, Monday through Friday

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.
