Assistant Director of Event Marketing and Communications

The Assistant Director of Event Marketing and Communications is primarily responsible for leading the overall marketing and communications strategy for university events, which includes creating and executing digital and physical assets that elevate the branding and serving as key liaison with other campus partners for collaborative approach. Reporting to the Sr. Director of University Events, this role is also responsible managing vendors, identifying new avenues for promotion for external visibility impact and formalize policies & procedures. Finally, this position will supervise the University Events Student Worker

Event Marketing – 50%
  • Responsible for designing and creating marketing and promotions assets that elevate university events
  • Owning university and division brand standards and overseeing their application across all digital and print communications both internally and externally
  • Develop comprehensive marketing and promotions plan for all university-level and Presidential events including the coordination and delegation of responsibilities for execution
  • Design creative assets that meet the brand standards and elevate the look and feel for each event
  • Manage, organize and execute the commencement program, alongside the University Marketing and Communications (UCM) team while coordinating with the program designer and data from within the University
  • Responsible for overseeing the content, design, maintenance, and performance of OUE website and intake form
  • Manage all look and feel assets for commencement and university events
  • Serve as the liaison to UCM to ensure consistency in designs and marketing materials
  • Serve as the lead web author for the commencement website and university events websites, creating content and publish accordingly
  • Work with campus colleagues to provide event guidance and brand standards
  • Provide support for campus partners and stakeholders for events using the university event tiered support system to determine the level of support
  • Provide leadership and direction for event communications and invitations
  • Develop intentional invitation lists per event tier
  • Investigate the performance of team’s marketing and communication campaigns and strategies through evaluating key performance metrics
Communication Management – 40%
  • Understanding and leading the flow and method of communications to key constituencies to build positive relationships, including current students and clients, faculty & staff, donors, and alumni
  • Manage and utilize system software such as Marketing Cloud and Raiser’s Edge for communication and promotion
  • Serve as a Raiser’s Edge expert, overseeing event registration processes and systems including registration pages, invitation lists and RSVPs
  • Create communications plans and timelines for campus events, such as the President’s Speaker Series, Welcome Back, Spring Update, Faculty and Staff BBQ, Winter and Spring Commencement program and remarks, Executive Updates, Board of Trustee meetings, visiting professorship talks, among others.
  • Responsible for managing the recruitment and communications with Commencement Marshals
  • Collaborate with the UCM team on event communications and ensure brand practices are being followed
  • Oversee event communications and emails, while managing the approval process
  • Manage the team’s digital event calendar and disseminates information across multiple campus channels to expand brand visibility, reach, and engagement
Event Production – 10%
  • Serve on the commencement committee and event coalition
  • Manage post-event evaluations, post-event surveys and the data dashboard to capture ROI
  • Provide feedback to stakeholders after each event for future development and propose ideas to improve event quality
  • Support campaign events “look and feel” in partnership with the University Advancement team
  • Manage database and contact lists of constituents such as committee members and volunteers and assist with communication to committees
  • May require additional administrative tasks as assigned such as copying, mailing, proof-reading, and other basic duties on as-needed basis
Required Qualifications
  • A BA in a related field such as Marketing, Hospitality or Event Management.
  • Minimum 2-3 years special event and meeting planning experience
  • Minimum 2-3 years marketing and communication experience.
  • Proficiency and accuracy in marketing, communications, and promotions.
  • Ability to work effectively and independently in a fast-paced environment.
  • Solid written and oral communication skills.
Preferred Qualifications
  • Proficiency with Office 365 and event management systems
  • Proficiency with Marketing Cloud and Raiser’s Edge
  • Proficiency in Adobe Create Suite programs, including Photoshop, Lightroom, InDesign.
  • Experience and working knowledge of HTML coding.
  • Excellent organizational skills and ability to work under deadlines.
  • Excellent people skills: ability to collaborate with others.
  • Exceptionally detail oriented, proficient at time management and prioritize multiple projects.
  • Background in special events management, higher education, and nonprofit work.
  • Expert-level photographer; DSLR knowledge; high-quality photography editing
Salary for Announcement
The starting salary range for this position is $ 54,900-$ 68,650

Pay Grade:17
The salary of the finalist selected for this role will be set based upon a variety of factors, including but not limited to, internal equity, experience, training, and qualifications.
