  • Randolph-Macon College is seeking an Operations Assistant to join our Campus Safety team. The Office of Campus Safety serves as the main switch board for the College. The Operations Assistant is responsible for promoting positive community relations in the performances of his or her job duties. The duties require attention to detail, high level of accuracy and confidentiality. Daily duties will include switch board operations, monitoring security systems, communications via e-mail and radio, and working closely with the Operations Support Officer.

    RESPONSIBILITIES (include but are not limited to):

  1. Maintain and monitor electronic security access systems.
  2. Maintain information by accurate recordkeeping via dispatch reports. Ensure daily tasks are printed and posted appropriately.
  3. Initiate after hour protocols for Residence Life and Physical Plant when necessary.
  4. Maintain and handle all confidential material and information.
  5. Develop proficiency with programs used by the College and the Office of Campus Safety.
  6. Perform duties as assigned by Campus Safety Command Staff.


QUALIFICATIONS/REQUIREMENTS:

To perform this job successfully, an individual must be able to perform all duties satisfactorily. The requirements listed below are representative of the knowledge, skills, abilities, training, and experience.

TRAINING & EXPERIENCE:

High School Graduate plus two to three years of administrative experience and or customer service experience.

WORKING CONDITIONS/PHYSICAL DEMANDS:

Most of the duties of this position are performed under normal office conditions in the Office of Campus Safety. This is an essential Staff position that requires multitasking and ability to prioritize assignments. Employee regularly uses the telephone, fax machine, copier, and computer. Must be able to converse with co‑workers, college personnel, students, and campus visitors in a clear, concise, and professional manor. Frequent trips to other building(s) to pick up and deliver mail, copying jobs, etc. Fine motor coordination is necessary in the use of office equipment. Frequent lifting or movement of materials weighing up to 15 pounds is necessary.

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Computer efficiency in email and ability to write brief, concise and accurate summary reports.
  2. Experience with current word processing software packages required. Spreadsheet and database applications are preferred.
  3. Clear and concise communication both written and verbal. Ability to send proper and timely notifications.
  4. Well-developed knowledge of general office practices and procedures, plus skills in conducting and monitoring several projects simultaneously.
  5. Ability to work in a rapidly changing environment with frequent interruptions and able to prioritize the most important task.
  6. Well-developed written and oral communication skills.
  7. Conduct all business in a professional and courteous manner working directly with Student, Faculty, Staff, and guests.
  8. Produce accurate work independently following established policies and procedures.
  9. Excellent customer service skills.


DAY SHIFT SCHEDULE:

Shifts are based on a two-week repeating cycle with scheduled workdays as follows:

Week 1 = Wed. and Thurs. 8AM – 8PM

Week 2 = Mon., Tues., Fri., Sat., Sun. 8AM – 8PM

Successful candidates must be flexible and willing to work extra shifts and special events as needed. The Operations Assistant is regarded as essential personnel and attendance is expected during inclement weather and other emergency conditions.
