Responsibilities
PURPOSE OF THE POSITION

Under the general direction of the Office Manager, the Riverside Site & Facilities Operations Coordinator is responsible for overseeing all basic office operations of the Riverside Training Center and Simulation Site and all site functions. This position works primarily from the Riverside Training Center offices. This position will work closely with the Administrative Team under the Business Development and Operations division of the organization.
SPECIFIC DUTIES

This is a full time position. The following information is intended to be a representation of the work performed by incumbents in this position and is not all-inclusive. Note: Some duties may include working with and/or exposure to sensitive/traumatic topics or material dealing with child abuse, elder abuse, and/or issues and scenarios related to mental health, substance use, or racism.

SITE OVERSIGHT AND COORDINATION (75%)
  • Oversee daily activities on site to ensure efficient operation and service delivery.
  • Oversight of construction, maintenance, and work repairs.
  • Develop & implement training site operating policies/procedures
  • Analyze, evaluate, and, as indicated, streamline processes
  • Analyze and recommend corrective action for any systemic, logistic, or physical problems related to the operation of the training site
  • Facilities requests and tracking
  • Performing functions, independently troubleshooting and problem solving issues with customers, contractors, landlord/property manager, constituents, and internal team
  • Manage inventory of office supplies purchases and furniture for site
  • Work closely with Office Manager to ensure all furniture inventory is in database for Riverside site
  • Work collaboratively with onsite staff to ensure office logistics are implemented
  • Monitor usage, storage, and placement of simulation site equipment and materials
  • Maintain cleanliness of the office, conference room and storage spaces
  • Oversee simulation site information and coordinate technology support
  • Work closely with IT staff to make sure all equipment in training rooms is working in proper condition
  • Backup for Tech - Equipment check out and basic support (zoom, google docs, calendars)
  • Assist with space planning (planning, organizing, arranging, assist facilitating team committee and meeting)
  • Act as Site Emergency Response Coordinator


  • ADMINISTRATIVE DUTIES (20%)
  • Perform Welcome Ambassador tours for new staff
  • Oversee Supply Order Zoho Ticket System
  • Work with Fiscal to ensure all deliveries are received onsite
  • Update website staff directory and bios
  • Create and maintain updating of site training room floor plans and etiquette checklists
  • Create and maintain updating of office guidelines and expectations of Policies and Procedures Manual

  • Perform other duties as assigned which are in the best interests of the Academy for Professional Excellence.

  • Ability to to learn office technology systems and operate standard office equipment; display typing and keyboard skills
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests
  • Knowledge of computer programs such as Microsoft Office, Google Suite
  • Ability to display organization, meet deadlines, display detail orientation, possess good judgment and common sense
  • Ability to understand and follow posted work rules and procedures
  • Ability to effectively manage multiple projects and priorities
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop solutions

  • Qualifications
    REQUIRED QUALIFICATIONS
    • High school diploma
    • 6-years of progressively responsible experience in an office or administrative environment


    PREFERRED QUALIFICATIONS

  • Bilingual in English and Spanish
  • 3 years of experience in oversight and coordination of office and organizational development
  • 3 years of experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Strong skills in Microsoft Office products and Google Suite.
  • Experience working in SDSU Research Foundation projects
