Job Description:
The Assistant Director of Admissions - Campus Visit Experience Manager is responsible for the oversight, implementation, and execution of all admissions events to meet new student enrollment goals for the University. This includes the coordination of daily campus visits, group tours, and on-campus events such as open houses, informational sessions, admitted student events, counselor breakfasts, etc. Additionally, this role is responsible to coordinate virtual and off-campus events such as regional information sessions and virtual information sessions. The Campus Visit Experience Manager supervises student workers and student volunteers who assist with recruitment events.
Essential Functions Include:
- Collaborate with the admission team to ensure a positive, seamless, and memorable experience for all campus visitors.
- Serve as the primary point person for all campus visit inquiries, including all contact pre-visit and follow-up post visit.
- Work with each visitor to determine their individual needs and interests and design an appropriate and appealing visitation agenda.
- Prepare materials such as name tags, agendas, and information packets for campus visitors.
- Greet visitors and provides a welcoming "home base" while they are on campus.
- Resolve scheduling conflicts or other issues independently in a professional and timely manner.
- Communicate with internal University constituents to arrange participation in visit activities such as meeting with a coach or faculty member, eating in the dining hall, etc.
- Schedule, plan, and execute group visits (school groups, field trips, etc.).
- Provide information about the University to prospective students and their families.
- Plan and coordinate large open houses and on-campus visit events
- Hire, train, and supervise a team of student tour guides who give campus tours, work admissions events, and assist with other department tour requests to ensure they best meet the needs of FSU campus visitors.
- Collaborate with the CRM Manager on advertising and marketing events, website updates, and Slate event maintenance.
- Regularly assess the effectiveness of the visit experience through campus visitor surveys and through the campus CRM reporting metrics.
- Must have flexibility to work occasional evenings and weekends.
- Other duties as assigned.
Requirements:
Minimum Qualifications:
Bachelor's Degree
1-3 years of demonstrated experience in a customer service-related
role
Skills & Experience:
- Experience in event planning and coordination preferred.
- Experience in a higher education setting is a plus.
- Excellent computer skills and intermediate knowledge of the Microsoft Office products, database basics, and advanced e-mail and calendar knowledge.
- Outstanding interpersonal skills and the ability to make a positive first impression.
- Excellent prioritization skills and ability to meet deadlines.
- Ability to handle multiple projects with outstanding detail orientation despite frequent interruptions.
- Ability to adapt to changing needs, schedules, weather, and unscheduled visits.
- Ability to manage student workers and create effective outcomes.
- Strong problem solving and quick decision-making skills.
- Ability to build strong relationships with the admissions team and departments across campus.
- Spanish fluency preferred.
Additional Information:
This is a full-time, exempt, benefits-eligible position in the Association of Professional Administrators (APA) bargaining unit with a union title of Assistant Director. The salary range is $60,000-$65,000.
Work Environment: This position is located on campus and works in a typical office setting within the admissions office.
Expected hours of work: This is a full-time position exempt
position. During peak visit weeks, some evening and weekend work
will be required.
Travel: Little to no travel is expected for this position.
