The Johns Hopkins University Department of Otolaryngology Head and Neck Surgery is seeking anAssistant Director, Clinical Operationsto work in all areas clinical practice management. The Assistant Director of Clinical Operations will function as a coordinator and manager of business operations. Other areas will include internal consultant of coding, billing, reimbursement including third party and other, compliance, best clinical practices and serves the patients, faculty, staff, and Administrator, as well as Johns Hopkins University Physicians. The Assistant Director of Clinical Operations also functions as an advisor to the Administrator, Faculty and Department Chair in tactical planning for the Department and acts as the Department’s representative on appropriate committees and work groups both internal and external to Johns Hopkins. More specifically, the position is responsible for managing the human, facilities, and equipment resources of the department in the process of enabling the delivery of the highest quality of clinical care. The Assistant Director of Clinical Operations performs regular performance measurement and analysis and reports on such to the Administrator, faculty and chairman as well as all other appropriate parties.

Specific Duties & Responsibilities

  • Develops, implements, and assures compliance with internal policies and procedures including those of the Department, Johns Hopkins University Physicians, as well as those of all local state and federal regulatory authorizes.
  • The Assistant Director of Clinical Operations is responsible for the continuous training and education of the entire clinical staff.
  • The position reports directly to the department Administrator and in addition to all member of the Department of Otolaryngology H&NS.
  • The position also works closely with other Departments’ representatives, JHU Administration, and other related external contacts. Professional Fee Billing.
  • Perform data collection, review, analysis and reporting for all practice business operations including monthly quarterly and annual statistics on patient visits and procedural volume, surgical volume, payer mix, collection ratios, charges and revenue, AR and follow-up and other items as required or requested.
  • Highlight all open issues and present issue resolution plans and progress to staff, and faculty regularly.
  • Act as Department HIPAA compliance officer.
  • Monitoring and implementing legal compliance with specific guidance from university counsel.
  • Serves as Practice Management support and monitor development and implementation of all relevant policies at the department level.
  • Focuses on addressing customer service, productivity, patient scheduling and registration, patient financial counseling, template, forms and standardization of all internal workflow and business practices in an ongoing effort to optimize collections and address the needs of all stakeholders including patients, physicians, and staff.
  • Responsible for adequate clinical support 5 staff management within budget; for creating, budgeting, hiring, training, educating, managing, reviewing performance and disciplining all clinical support staff as required to meet the clinical demands for the department.
  • Maintain required records for all staff, and an accurate organizational chart at all times.
  • Will be responsible for offsite operations.
  • Will lead departmental service excellence efforts and be responsible for review of patient satisfaction surveys.
  • Partner with departmental leadership to develop action plans related to improvement of employee engagement survey results.
  • Develop, implement, and measure a Departmental Employee Recognition Program.
  • Responsible for handling employee complaints/grievances.
  • Assist in testing all IT programs as required by JHH and/or JHU.
  • Responsible for review and approval process of all requests for medical records from any party external to the department.
  • Other duties as assigned.

Special Knowledge, Skills, & Abilities

  • Comprehensive knowledge and compliance of HIPAA rules and regulations in the dissemination of patient Protected Health Information (PHI).
  • Utilize online resources, including Epic and Cognos to facilitate efficient reporting and analysis.
  • Requires an understanding of medical billing as related to patients, physicians and administrative staff in a high-volume medical services environment and a broad-based understanding of clinical operations in an academic setting.
  • Excellent communication and customer service skills with the ability to work well under pressure.
  • Strong organizational and analytical skills with ability to use Excel at a high level.
  • Aptitude for figures and attention to detail.
  • Train in all electronic medical record systems, billing and financial systems, and management reporting systems
  • Excellent oral and written communications skills.
  • Maintain knowledge and attain excellence in following policies and procedures set by IT team, Epic, CPA, and the JHH finance office.
  • Capable of meeting deadlines and working well under pressure.
  • Knowledge of PCs and PC applications.
  • Ability to develop knowledge of JHM and JHU/ PBS financial applications.
  • Knowledge of the departmental organization and sub-specialty divisions, requiring a broad scope of specialty knowledge and associated budgets.
  • Excellent interpersonal skills and ability to work as part of a team.


Minimum Qualifications
  • Bachelor's Degree in Business, Finance, Accounting or other related field.
  • Seven years progressively responsible professional-level administrative and financial experience related to monetary or non-monetary resources of a department, center, or unit, including 2 years financial management experience (e.g., planning, directing, monitoring, organizing, and controlling monetary and non-monetary resources).


Preferred Qualifications
  • Master’s Degree in a related field may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • CPC certification.
  • EPIC experience.
  • Supervisory experience.
