Job Responsibilities:
Do you have a passion for event planning? If so, The Citadel, The Military College of South Carolina is seeking an Events Manager in the Auxiliaries Department. This role will report to the Associate Director of Auxiliary Services. This role will be responsible for the following:
- Serves as the primary booking agent for external rentals of campus venues and manages interactions with clients from inquiry through event conclusion.
- Serves as the booking agent and room owner for the Swain Boating Center and Riverview Room in EMS (Event Management System); manages venue calendars and books internal and external events. Assists event planners with coordinating support services and other event-related needs in these venues.
- Ensures compliance with rental contracts and Citadel policy.
- Coordinates staffing and logistics of external rental events and ensures that client needs and expectations are met.
- Communicates and coordinates with external vendors and campus departments such as F&E, PSAF, and Multimedia.
- Coordinates custodial and maintenance and repair needs with Facilities & Engineering.
- Ensures event venue and grounds are appropriately maintained, cleaned, and prepared for events.
- Oversees the use of social media and other web-based platforms to promote Citadel venues. Coordinates content updates to assure posts are professional, up-to-date, and technology functioning as intended.
- Hires, trains, supervises, and schedules event support staff to provide onsite event management for external events; processes and approves timesheets.
- Provides information pertaining to rental events for contract and billing purposes. Prepares and presents reports regarding event rentals.
Minimum Qualifications:
High school diploma. Must have strong organizational, planning and time management skills and be able to take the initiative and handle multiple ongoing activities. Ability to exercise judgement and discretion. Ability to establish and maintain effective working relationships. Ability to interpret and apply regulations, policies and procedures. Ability to communicate effectively. Strong customer service and quick problem-solving skills are necessary. Must be proficient in using Excel and Word and have the ability to learn various ERP and database systems. Must demonstrate attention to detail and accuracy.
Preferred Qualifications:
Experience in event or venue management preferred. Knowledge of event management processes and industry standards.
