Job Summary

Leeds School of Business invites applications for an Admissions Coordinator of Graduate Programs ! This role is part of the admissions team that supports the school's enrollment strategy for MBA and MS programs. The Coordinator will engage in the extensive recruiting process with the team to ensure a strong and diverse applicant pool. This position is responsible for managing the recruitment, application and admissions processes for Leeds Graduate Programs. They will collaborate with the team to drive the application review process for our programs through its full life cycle. Our current application platform is Technolutions Slate; where this individual will complete much of their day-to-day work. This position also leads all events and supports scheduling appointments with prospects.

What Your Key Responsibilities Will Be

Admissions & Applications Processing
  • Provide lead support in the processing of MBA and MS applications by managing incoming documents and transcripts from applicants.
  • Troubleshoot transcript hold issues forwarded by Student Services and ensure that applicants are processed as quickly and efficiently as possible.
  • Responsible for admissions duties including responding to admission email queries, meeting with prospective applicants, and sending incomplete admission application letters.
  • Handle the post-application/pre-deposit communication process.
  • Monitor application status and term activation for deferred, withdrawn, or dual degree applicants.
  • Submit change forms to graduate processing team to ensure accurate enrollments.
  • Proactively, independently, and consistently conduct follow-up and problem-solving with all applicants to ensure full applications are submitted to the committee in a timely fashion.
  • Provide required documentation for admissions committees.
  • Record all decisions and follow-up actions from the committee.
  • Maintain Slate records for applicants, ensuring that they are accurate and up to date.
  • Coordinate scheduling of interview days and campus visits, with coordination of the selection process and selection committee activities.
  • Ensure timely admissions communications, ensuring high client service is maintained.
  • Ensure all enrolled students are satisfactorily verified before the program start date.
  • Maintain admitted portal and grant timely access to admitted/enrolled candidates.
Recruitment Support and Event Management
  • Support the recruitment team with their outreach initiatives including setting up appointments with prospects and applicants, arranging call and interview schedules, and ensuring the team has all the current materials needed to conduct recruitment meetings and events.
  • Meet prospective students during the application process at information sessions and as walk-ins.
  • Manage 100+ events by helping to plan, coordinate, implement and host innovative information sessions, webinars, and other events to ensure details are not missed.
  • Assist with the day-to-day administration of the office, including greeting students, scheduling, preparing, and distributing materials, and answering the general phone line and email.
  • Support the Student Front Desk workers in helping answer admissions-related questions and being a backup to managing the main phone line.
Slate/CRM Administration
  • Work closely with both the Admissions & CRM Database Manager and the Admissions & Communications CRM Manager in completing daily tasks in Slate.
  • Manage Graduate Programs general email inbox through Slate, upload transcripts, test scores and other application materials, as well as managing appointments.
  • Import prospect names from the Graduate Management Admissions Council as well as others from other vendors and marketing lists.
  • Submit provisional admit forms and follow up with the Graduate School regarding approval.
  • Add provisional admit decisions.
  • Reconcile deposit payments and respond to related inquiries from other departments on campus.
  • Process changes to applications in Slate such as deferrals, program changes or withdrawals and consolidate duplicate records.
Collect and Compile Market Research Data
  • Research and collect benchmarking data from various sources.
  • Work with the Graduate Admissions Director to create summary reports.
  • Conducts ongoing market research and compiles survey results in summary reports.
What You Should Know

This position offers a hybrid work modality with 2 remote work days per week and occasional (1-2 times per year) weekend and evening work hours will be required to support admissions and recruiting events.

What We Can Offer
The hiring range for this position is $53,000-$55,000. Relocation assistance is available for eligible candidates.

What We Require
  • Bachelor's degree from an accredited institution and 1 year of relevant professional experience, or a combination of education and relevant experience.

What We Would Like You to Have
  • 3+ years of relevant experience in higher education working in a Graduate Office, specifically in a Business School.
  • Knowledge of Technolutions Slate.
  • Proficiency with CRMs or other similar technologies.
