About the Department/Unit

Human Resources is evolving and embarking on the Hiring Process Reinvented initiative which will improve our recruiting and onboarding processes to deliver an employee experience that attracts and retains high-performing and diverse faculty and staff at all levels.

Summary/Objective

The Part-Time HR Administrative Assistant provides day-to-day administrative support to the staff of the Human Resources Department. In this position, the incumbent provides front desk coverage for the office. Duties include, but are not limited to providing service to walk-in customers, answering and screening incoming calls, overseeing supply orders and distribution and coordinating the timely payments of HR office invoices, purchase orders, and disbursement requests. The Part-Time HR Administrative Assistant will also provide back-up support to the Records Specialist on employee record management and employment verifications.

Essential Functions
  • Deliver high-quality customer service to department’s customers at the HR front desk by greeting visitors, answering phones, verifying employment using the I-9 form and providing assistance and/or information as appropriate.
  • Provide support to HR and Payroll staff as well as the Full Time HR Administrative Assistant: oversee equipment orders, repairs; maintain supplies and office equipment; identify enhancements to customer and office services for internal staff and lead implementation.
  • Performing duties such as employee file maintenance and employment verifications.
  • Assist Assistant Vice President and all the Directors of Human Resources with projects as needed and provide administrative support including scheduling and phone coverage.
  • Other duties as assigned.


  • Supervisory Responsibility
    • This position reports to the Director, HR Customer Service.
    Position Type/Expected Hours of Work
    • Part-Time.
    • Office Hours 9:00am-5:00pm Monday-Friday.
    • Three days per week (Fall -Spring) 21-27 Hours.
    • Monday-Friday (Summer) 28-35 Hours.
    Required Education and Experience
    • High school diploma.
    • 2 to 3 years of customer service and administrative experience required.
    • Excellent communication skills (oral and written) are essential.
    • Experience with Microsoft Office: Word, Excel and PowerPoint programs are required.
    Preferred Education and Experience
    • Bachelor’s degree preferred.
    • Supervisory or human resources experience preferred.
    • Prior office management or invoice processing preferred.
    • Experience with Outlook, web and graphic design programs preferred.

    • Hiring offers for this position are contingent on successful completion of a background check.
    • Employees in staff positions at American University must deliver their services to the university from either the District of Columbia, Maryland, or Virginia, or perform work on-site at the university.
