POSITION PURPOSE

The Executive Assistant to the VP for Admission and Financial Aid provides administrative support to the Vice President for Admission and Financial Aid and the Admission and Financial Aid Offices.

HIRING SALARY RANGE

Successful applicant can expect to start between $48,000 and $51,500.

PRINCIPAL ACCOUNTABILITIES
  • Monitor and reconcile budgets for admission and financial aid including: coordinating process for billing, bill-paying, purchasing and account reconciliation, reconciling monthly credit card statements for admission and financial aid staff and providing current budget/expenses data and other financial reports as directed.
  • Provide primary administrative and logistics support to the Vice President for Admission and Financial Aid including, but not limited to: creating reports and queries, making travel arrangements, maintaining calendars, and coordinating visits from special constituencies
  • Ensure efficient Admissions and Financial Aid office operations by ordering and maintaining supply and equipment inventory, coordinating maintenance and technology repairs and other related office necessities.
  • Ensure timely communication of information to the Financial Aid, Admission Operations, Admission Recruitment, and Data Analytics teams when needed
  • Work closely with the Director of Admission Operations to support the day-to-day operations of the office and ensure operational efficiency.
  • Attend admission and financial aid project team meetings to relay information from the VP necessary for project advancement , when needed.
  • Assist with preparations and provide administrative support for trustee meetings and other committees relevant to the work of the Vice President.
  • Perform other related duties as needed and when bandwidth is available.


REQUIRED KNOWLEDGE SKILLS & ABILITIES

Individuals must be able to explain and/or demonstrate they possess the knowledge, skills and abilities to safely perform the essential functions of the job, with or without reasonable accommodation.
  • High degree of accuracy and attention to detail including spelling, proofreading, composition of correspondence.
  • Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel and PowerPoint) and familiarity with Google Workspace applications (Google Drive, Google Calendar, Gmail, etc.).
  • Excellent communication skills, both oral and written, are necessary to relate to students, parents, other campus departments, overseers, trustees and external constituencies.
  • Ability to work independently and as a part of the department teams.
  • Strong organizational skills and the ability to prioritize and manage multiple tasks
  • Ability to integrate the College's core values of diversity, equity and inclusion into interactions, processes and decision making.
  • Ability to maintain confidentiality.


MINIMUM QUALIFICATIONS
  • Minimum of three years administrative support experience.


PREFERRED QUALIFICATIONS
  • Three years professional experience in college admission and/or financial aid
  • Proficiency with Technolutions Slate Admission CRM
