Specific Responsibilities:

Administration

  • Serves as the lead administrative person for the GME residency program. Manages the daily operations and activities of the GME residency program.
  • Designs, delivers, and reports timely completion of resident, faculty, and program evaluations through the Residency Management System. Coordinates accreditation activities including ACGME site visits, self-studies, internal reviews, annual program reviews, etc.
  • Assists the Program Director by monitoring and reporting Resident Wellness outcomes to ensure compliance.
  • Assists the Program Director and faculty in planning program quality improvement projects.
  • Prepares Program Letters of Agreement (in coordination with the GME Office) with participating institutions and training sites.
  • Tracks, documents, and reports on educational activities for residents, for the purpose of meeting board certification requirements, meeting program accreditation requirements, and complying with the policies and procedures of the Office of Graduate Medical Education.
  • Utilizes systems and reporting to inform the GME Program Director of program compliance with organizations such as ACGME, AMA, National Resident Matching Program, and any other program-level related organizations.
  • Uses the Residency Management System to record, maintain, and report on all aspects of the resident’s training experience(s), including demographics, scholarly activity (including faculty), procedure certification, performance/semi/summative evaluations, block/shift/clinic schedule, and duty hours
  • Maintains working relationships with the Office of GME to remain compliant with all necessary requirements for all residents/fellows, visiting residents, and faculty.
  • Oversees & ensures that day-to-day operations of the residency program are appropriately managed, efficient and effective.

Budgets & Financial

  • Ensures that the residency program meets associated expense goals.
  • Plans & implements annual budget process for residency program
  • Oversees all daily, monthly & annual financial activities for residency program, including transactions, analysis, & reporting.

Evaluation

  • Oversees development & implementation of evaluation processes, quantitative & qualitative measurements that ensure that residency program benchmarks are successfully attained and communicated in a timely and efficient manner.
  • Manages evaluation processes; recommends & implements changes for enhancement; monitors effectiveness through follow-up evaluation studies.
  • Collaborates with internal/external resources to develop meaningful outcome measurements and methods of program/project evaluation that will lead to enhancement.

Events

  • Develops a comprehensive program of events for residency program such as lectures, symposia, speaker series, workshops, conferences, cultural events etc. in collaboration with internal & external resources.

Program Development

  • Manages the ongoing development and refinement of the residency program's current and future curriculum and course offerings in consultation with subject matter experts.
  • Provides leadership for planning, scheduling, delivering and maintaining residency program to sustain quality instruction in all educational activity.

Regulatory Compliance

  • Oversees development & implementation of processes & procedures for all safety, security & compliance programs related to residency program
  • Oversees creation &/or implementation of associated training related to residency program

Strategic Planning

  • Directs and leads development of residency program strategic plan.
  • Creates & leads a coordinated program of activities designed to achieve residency program objectives.

Student Support

  • Oversees recruitment, application evaluation, interview, selection and notification of candidates for residency program.
  • Manages resident orientation, registration, student life, graduation, etc.
  • Creates department strategy for structure, process, & staff support of residents.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • 4 years program/project administration or other relevant experience.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • At least one year of experience working in administration of accredited residency or fellowship program
  • Strong oral and written communication skills
  • Strong interpersonal skills
  • At least one year of experience with event planning

Preferred Qualifications:

  • At least two years’ experience working in administration of accredited residency or fellowship program
  • At least two years’ experience with event planning
  • Experience managing residency program budget
