Position Summary: The Assistant Buyer for the Purchasing Department is responsible for assisting appropriate staff with purchase orders, change orders, TIN matching, project exemption forms, contract routing, upkeep of files (electronic and paper), customer service, researching products and suppliers and other duties as assigned. There is an opportunity for this position to work a hybrid remote from Kansas and an on-campus schedule after the initial training period according to the department’s needs.
Essential Functions:
• Assist individuals who contact the office and staff in the sourcing and procurement of goods.
• Responsible for creating and maintaining the department’s records and ensuring accuracy.
o Create, validate, and maintain vendor files in chosen software program
o Maintain solicitation list for RFP/RFQs
o Ensure appropriate documents (W-9) are filed and confirm TIN matching
o Audit RFP/RFQ files for any missing documentation
o Maintain an active Certificate of Insurance (COI) file and ensure a current COI is on file.
• Assist with researching various information (vendor, product, etc.) that supports the department.
• Prepares requisitions and purchase orders according to established procedures and submit them to vendors.
• Create correspondence, reports, and new forms to assist with the efficient and effective delivery of services from the department.
o Prepare spreadsheets for bids, cost comparisons, and other department use.
• Cross-train with other staff in the department to provide support in times of heavier workloads or due to absences.
• Monitor the department’s email and respond as appropriate or forward it to the required staff.
• Review performer/lecturer contracts for accuracy and completeness to prepare them for signature approval.
• Perform additional job related duties as assigned or as appropriate.
Required Qualifications:
Three years of experience working in a purchasing, finance, accounting or a closely related field; or a bachelor’s degree in business, finance, accounting, business/public administration, procurement or a closely related field; or a combination of post-secondary relevant education and experience equivalent to three years.
• Demonstrated effective customer service, communication, interpersonal, organization and time management skills.
• Proven ability to prioritize tasks and meet deadlines.
• Demonstrated proficiency in Microsoft Excel.
• Proven effective abilities to work collaboratively, and build and maintain professional relationships across diverse constituencies.
Preferred Qualifications:
• Previous purchasing or procurement work experience.
• Work experience in the higher education environment.
• Knowledge of Ellucian Banner.
