Classification Title: Administrative Support Coordinator I

Classification Salary Range: The CSU salary range for this position is $3,505 - $5,508 per month.

The anticipated hiring range for this position is $3,505 - $3,800.

About the Department/Position:

Under the general supervision of the Director, the Office Coordinator provides day-to-day administrative support for the Office of First- and Second-Year Experience. Key responsibilities involve coordination of administrative support for efficient office procedures, project coordination, providing annual planning support to the Director, leading work direction to student employees and volunteers, and coordination and oversight of department's social media presence. The Office Coordinator is responsible for the coordination of various campus, office functions and special events.

Overview of Duties and Responsibilities:
  • Serves as the front-line staff member to oversee operational and procedural duties, address any problems, communicate, and interact with all constituents, including answering inquiries, routine questions and/or resolves issues and problems by providing necessary information by phone, email, and in person.
  • Coordinates scheduling, and maintenance of appointment calendars for professional staff. Arranges staff and committee meetings and assembling of information from office files or other sources for use during appointments or meetings. Stays abreast of program and service updates through regular attendance at staff meetings.
  • Supports student assistant hiring and training including contributing to position descriptions, marketing position, tracking applications, contributing to development of interview questions, participate in interview committee, coordinate completion of hiring paperwork
  • Oversight of department's social media accounts Development of content and posting, monitoring constituency responses, data collection and analysis

Minimum Qualifications:
  • Education: Completion of a high school program, technical/vocational program, or their equivalents.
  • Experience: Three (3) years of related office work experience

Knowledge, Skills, and Abilities:
  • Fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures.
  • Thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing.
  • Must have organizational skills sufficient to handle heavy workload, multiple projects with frequent interruptions, and schedule changes.
  • Ability to work with the public, faculty, staff, and students in a competent, diplomatic and open communication style
  • Strong oral communication skills to provide clear, concise, and accurate information

Preferred Qualifications:
  • Bachelor's degree
  • Three or more years of increasingly responsible office experience, working with programs that serve underrepresented students and working with a diverse population
  • Ability to handle multiple work priorities, organize and plan projects.
  • Ability to use a broad range of technology, systems and packages including but not limited to: Microsoft Office Suite, Adobe Acrobat, Google programs, etc.
  • Ability to use Learning Management Systems (i.e., Blackboard, Canvas)
  • Working knowledge of software applications such as Word, Excel, database management systems, web maintenance and design programs
  • Knowledge of campus procedures, including experience, or ability to learn, PeopleSoft campus system
  • Working knowledge of or ability to quickly learn how to use Toro Success Collaborative (EAB), and ability to access and interpret information
  • Ability to manage and update social media and web sites for the department.
  • Ability to troubleshoot and solve most office and customer-related problems
  • Ability to quickly learn and apply a variety of state, federal, CSU and CSUDH policies and procedures
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions
  • Ability to perform standard business math, calculate ratios, track financial data, and make simple projections
  • Working knowledge of budget policies and procedures
  • Must possess excellent customer service and public relations skills
