Chief of Staff


GENERAL PURPOSE: The Chief of Staff serves as the principal aide and representative of the Associated Students (A.S.) President and Vice Presidents. The Chief of Staff is responsible for working with executive officers, managing two mentorship programs, implementing innovative ideas into A.S., leading any special projects of the executive officers, and providing assistance to the A.S. executive officers, as needed.

ESSENTIAL DUTIES & RESPONSIBILITIES

Primary Functions
  • Works as an advisor to and for the A.S. President and Vice Presidents.
  • Leads special projects as assigned by the A.S. President and Vice Presidents.
  • Directs all appointed committee designees for the A.S. executive officers, in partnership with the officers.
  • Directs the A.S. First-Time Leadership Experience (FLEX) team and the First-Year Leadership Initiative (FLI) which includes: organizing the interview process, assigning mentors, creating and executing meeting curriculum, and scheduling regular meetings.
  • Serves as a representative for the A.S. President or Vice Presidents, as assigned.
  • Assists in accomplishing annual A.S. goals and other duties as assigned by the A.S. President.
  • Performs other duties, as assigned.

Customer Service and Collaboration
  • Establishes and maintains working relationships with various A.S. and University departments, especially with the A.S. President and the A.S. Vice Presidents and all the A.S. leaders of the three Councils

Safety
  • Ensures all operations are conducted with safety of staff and customers as first priority, and in accordance with the Injury and Illness Prevention Plan and other safety policies
  • Adheres to Associated Students' Code of Safe Practices
  • Reports accidents to supervisor and reviews changes required to avoid reoccurrence Ensures completion proper documentation is completed for each accident (employee and/or non-employee) and forwards to supervisor
  • Reports maintenance problems and/or broken and unsafe equipment to the appropriate party immediately


Minimum Requirements


Minimum & Preferred Requirements

Education:
  • Must be currently enrolled at San Diego State University, taking a minimum of 6 units
  • Must have a minimum 2.5 GPA

Experience:
  • Proficiency in Microsoft software required
  • Previous experience in student government preferred

Trainings:
  • Anti-Harassment for All Employees
  • Gender Awareness Training
  • Computer Security Awareness Training must be completed within first 30 days of hire

PERFORMANCE EXPECTATIONS
  • Must be able to exercise tact and exhibit sound professional judgment
  • Strong organizational skills required; must be able to follow oral and written directions and follow projects through to completion
  • Ability to work well with people
  • Highly organized individual with keen written and verbal skills and exceptional attention to details
  • Ability to work in a diverse, frequently changing population of students
  • Able to work well with little to no supervision
  • Must be available over the summer and some weekends

KNOWLEDGE, SKILLS & ABILITIES
  • Ability to work well with minimal supervision
  • Excellent interpersonal skills; ability to relate and communicate effectively with a diverse population of students, staff, faculty, colleagues and guests
  • Ability to operate a computer, proficiency with Microsoft Office Suite (i.e. Word, Excel, PowerPoint) and ability to learn and utilize new software programs
  • Well organized, ability to effectively multi-task, ability to prioritize work, problem solve, make decisions and meet scheduled deadlines under pressure in a fast paced work environment
  • Ability to maintain a level of confidentiality
  • Knowledge of the Associated Students and San Diego State University

SCHEDULE & WORKING CONDITIONS

This is a part-time (10-15 hours/week during the academic year, varying hours during summer), with preferred hours to be worked during business hours of Monday through Friday, 8 a.m. to 4:30 p.m.

Work is generally sedentary in nature, but may require standing and walking around campus. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.

This position requires the individual to spend long hours sitting and using office equipment and computers. This person will also spend time filing and have to do some lifting of supplies and materials from time to time, including banker boxes and files.

  • Responsible to the A.S. President
  • Supervised by the Government Affairs Assistant Director

EMPLOYMENT CATEGORY: Part-Time; Range I: $16.80/hour
