Job Summary

CU Boulder's Research & Innovation Office (RIO) encourages applications for an Administrative Associate! This position will interact and collaborate with multiple teams within RIO and provide support for events, administration and operational support, and strategic projects.

What Your Key Responsibilities Will Be

Event Support (Virtual and In-Person)
  • Manage RIO event planning and logistics. Working closely with RIO staff, provide on-site logistical and technical support for meetings, workshops, and webinars, including reserving space, ordering catering and managing the process for alcohol at events, and creating registration web forms.
  • Manage room reservations for standing meetings, working groups, and other events.
  • Take minutes at board meetings and other meetings.
Administration and Operations
  • Serve as unit parking, key access, telephone, and surplus property liaison.
  • Responsible for picking up and distributing mail.
  • Distribute reminders and information to faculty and staff and maintain RIO listserv.
  • Support the team in setting up surveys in Qualtrics or other survey applications.
  • Purchase supplies, equipment, and furniture in accordance with university purchasing policies and budgetary restrictions and reconcile expenses.
  • Support finance team with computer purchasing, inventory and disposal, international travel approvals, journal entries, and other general finance duties.
  • Send correspondence from RIO (thank you letters, etc.).
  • Schedule meetings and coordinate logistics.
Strategic Projects
  • Assist staff and faculty with a variety of special projects including working with the finance team, research development team, leadership team, or other administrative staff.
What You Should Know
  • This is a primarily on-site position with some remote work hours.
What We Can Offer

The annual hiring range for this position is $46,000-$55,000.

What We Require
  • Bachelor’s degree in a related field or a combination of education and experience.
  • 1 year of relevant work experience.

  • A high degree of integrity and a service-focused approach.
  • Outstanding organizational skills, attention to detail, and the ability to manage multiple tasks and priorities while meeting timelines.
  • Proficiency with Microsoft Office (Word, Excel, OneDrive), Outlook calendar software, Teams, Zoom, Google Suite (docs, sheets, drive), and survey applications.
  • Willingness to learn how to navigate new platforms.
  • Ability to contribute to a diverse and inclusive environment as part of the CU Boulder Inclusive Excellence vision.

  • Project management experience.
  • Experience working in higher education.
