Job Description Summary
The Program Coordinator for the Center for Precision Engineering for Health (CPE4H) and the Penn Center for Quantum Information, Engineering, Science and Technology (QUIEST) will support the research and outreach functions of both centers. Provide administrative support to the directors and assist in managing the centers' operations. Responsibilities include scheduling and organizing meetings, visits, symposia, and other events; preparing documents and other materials; assisting with managing grant proposals; managing communications, including maintaining websites and marketing materials; making travel arrangements; and submitting expense reimbursement requests; managing office space; submitting facilities service requests; ordering supplies; and serving as a general resource to a variety of constituents, including faculty, students, and visitors.

Job Description

Job Responsibilities
  • Provide administrative support to directors; manage calendars; schedule meetings; prepare meeting agendas and minutes; prepare documents and other materials; make travel arrangements; and submit expense reimbursement requests.
  • Schedule and organize meetings, visits, symposia, and other events; secure venues, manage speaker invitations, advertise symposia and other events; manage registrations, organize programs, arrange catering, and handle speaker/visitor travel arrangements and reimbursements, as required.
  • Manage communications for the centers; maintain websites and social media accounts and prepare marketing materials to improve the visibility of the centers.
  • Assist with managing grant proposals; assist with document preparation and monitoring expenditure of funds. Work with Penn Engineering Financial Services regarding expenditures.
  • Manage office space; submit facilities service requests; order supplies; serve as a general resource to a variety of constituents, including faculty, students, and visitors.


Qualifications

Bachelor's degree and a minimum of two years of related administrative experience or an equivalent combination of education and experience. Demonstrated excellent verbal and written communication, interpersonal, organizational, and Microsoft Office and other computer skills. Degree in a science-related field helpful.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
