Job Description:


Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. The ACE Program Assistant is responsible for arranging academic support for Germanna students in the Fredericksburg Academic Center for Excellence. The incumbent will greet students in person, over the telephone, or via Zoom to determine their needs and will arrange on-campus or online tutoring appointments in the Navigate Appointment Center, provide them with supplementary academic resources, or direct them to the Math Center, Writing Center, or Brainfuse online tutoring. The incumbent will set up all tutors' work schedules in the Navigate Appointment Center for all ACE on-campus and online tutoring appointments, Math Center, Writing Center, academic workshops, focused study groups, and Supplemental Instruction (SI) discussion sessions.

The Program Assistant will also be responsible for scheduling the weekly ACE online Zoom room and 40 breakout rooms for online appointment, Math and Writing Centers, study groups, and meeting rooms. The incumbent will serve as the designated Navigate contact for faculty and counseling “Tutoring Alerts” and will immediately contact referred students within 24 hours to arrange appropriate academic intervention. This role will include the maintenance of documentation for alerts and all follow-up efforts to track at-risk students throughout the semester. Additional program responsibilities include the creation and maintenance of spreadsheets, files, and databases necessary for retrieving statistical data and generating reports. The individual in this position is responsible for the dissemination of promotional materials and arranging class visits to the Fredericksburg ACE.

Major Duties and Responsibilities:
  • Serve as the first point of contact for students requesting academic assistance in the Academic Center for Excellence (ACE) at the Fredericksburg Area Campus; inform them of available services and resources; and schedule appropriate on-campus or online appointments for them
  • Contact students who have been referred to the ACE via Navigate “tutoring” alerts; schedule tutoring appointments and monitor students' progress throughout each semester
  • Set up tutors' schedules in the Navigate Appointment Center; schedule the weekly ACE Online Zoom room with breakout rooms for online tutoring appointments, Math Center, Writing Center, study groups, and meeting rooms
  • Validate students' tutoring appointments with the ACE Data System to ensure accuracy
  • Conduct tours and presentations to students who visit the Fredericksburg Academic Center for Excellence
  • Assist with Welcome Day and other college events
  • Perform other duties as assigned

KSA's/Required Qualifications:
  • High School diploma or the equivalent
  • Must have excellent interpersonal skills
  • Must have good judgment skills.
  • Comprehensive knowledge of Microsoft Word, Excel, and Publisher Programs
  • Familiarity with Google Apps, Canvas, Zoom, and/or similar forms of educational technology
  • Must have a general understanding of courses taught at Germanna
  • Must have outstanding organizational skills
  • Must possess patience and a strong service orientation
  • Ability to perform multiple tasks simultaneously in a fast-paced work environment
  • Commitment to working with diverse colleagues, students, and community members
  • Demonstrable commitment to promoting and enhancing diversity, equity, and inclusion


Preferred Qualifications:
  • Associate degree or equivalent experience
  • Appointment scheduling experience preferred
  • Experience working in a higher educational environment preferred
