Summary 

Reporting to the Assistant Vice Provost for Enrollment Management and Executive Director of Financial Aid, the Associate Director of Financial Aid System Operations provides oversight of computer systems and technology for the department and serves on the administrative leadership team. In partnership with others, you will work towards automation for complex financial aid functions, ensure compliance with procedures, audit access and use of data and systems, and help train. You will provide direction to the business systems team.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment (OEM) division provides campus-wide leadership in executing the strategic recruitment, admission, enrollment, new student programs, records management and student financial support functions for the university. 

Responsibilities

  • Direct computer systems, technology, and special projects in the Office of Financial Aid (OFA).
  • Ensure efficient use of information systems, and maintain knowledge of current and new technologies. In consultation with the AVP for Enrollment Planning and Technology, make recommendations on how best to use information systems to support financial aid operations.
  • Supervise, mentor and lead the systems team.
  • Oversee human resource needs and resolve staffing matters in collaboration with AVPED and Assistant Director of Support Services. Think creatively to support talent acquisition and retention efforts.
  • In partnership with the OEM Technology team, serve as primary contact with U-M's Information Technology Services (ITS) department and off campus vendors related to computer systems. Partner to resolve issues and assist ITS/vendors with defining requirements, testing, communication plans and training for major and minor system implementations.
  • Organize resources for upgrading and expansion of system capabilities.
  • Provide support to financial aid administration through automation. Advise U-M departments and units regarding automation and interaction with systems.
  • Monitor compliance with procedures to assure appropriate security for access to database transactions and data. Audit access and use of data and systems, direct and help train staff in use of systems, programs, and new technologies.
  • Plan, forecast and provide financial aid data. Produce reports to support internal and external needs, both ad-hoc and recurring.
  • Direct disbursement of scholarships and fellowships.
  • Serve as a member of the OFA administrative leadership team. Inform policy and procedural changes in systems and technology.

Required Qualifications

  • Bachelor's degree in technology, computer science, business computing or a related field, or equivalent combination of education, certification, and experience.
  • Five years of progressively responsible experience in financial aid in a post-secondary, accredited institution with understanding of the structure and philosophy of student financial aid programs and systems.
  • Expert experience with integrated financial aid systems including process planning and implementation.
  • Working knowledge of the following tools (one or more) - PeopleSoft Student Information System, Business Objects, PeopleSoft Query, MS Excel, MS Access, SPSS, HTML, MySQL, FTP, Java, PHP, and Python. Programming or scripting experience is helpful.
  • Three years of supervisory experience is required.
  • Understanding and use of relational database concepts, with ability to convey complex information to a variety of constituencies.
