Job Summary

Working as part of a cohesive team, the Course Coordinator is a subject matter expert, serving as the principal administrative contact for faculty and instructional staff within the Program in General Education (Gen Ed). Reporting to the Associate Director, is responsible for all administrative logistics for courses, this role serves as an internal and external liaison to other Harvard departments and programs. In response to evolving department needs, the position develops, manages, and updates administrative processes in consultation with program leadership. In addition to working collaboratively within a small team of course coordinators, the position works independently with minimal supervision in a work environment of multiple and conflicting priorities. May oversee student workers and temps.

Three years' administrative experience.

Additional Qualifications and Skills

BA strongly preferred or an equivalent of education plus relevant experience. Experience working with faculty desired. Proven project and/or program management skills. Excellent interpersonal, communication, and organizational skills. Positive attitude with ability to interact tactfully and professionally with a variety of constituents. High degree of judgment, discretion, and confidentiality required. Attention to detail and ability to work with figures required. Strong computer skills, experience with Microsoft Office Suite, including complex mail merges and SharePoint; or other database software. Facility to learn new software as needed.

The Program in General Education is a set of courses and requirements outside the concentration (major) that all 6,500 undergraduates in Harvard College must fulfill. Courses in General Education address urgent problems or enduring questions, and are unusually explicit in connecting the subjects students study to the people they will become and the world beyond the classroom. Position Description
  • Is the principal source of information on established Program policies and advises faculty and instructional staff on policies and guidelines. Prepares and maintains course records (such as financial, personnel, administrative, student);
  • Manages the hiring, appointment and payroll processes for Teaching Fellows, Teaching Assistants, and Research Assistants. Weekly time approver. Reviews complex documents, reports, etc., to assure compliance with University requirements and/or government regulations;
  • Engages with course staff to manage the procurement process for course materials and arrange field trips and guest speakers, including hotels, caterers and vendors. Monitors budgets, maintains financial documentation, and provides information, research/statistics;
  • Coordinates, and has direct responsibility for, complex projects and tasks, including, but not limited to, book ordering, classroom scheduling, database maintenance, and program/course marketing. Anticipates and resolves problems;
  • Works collaboratively with the Registrar’s Office and the Office of Undergraduate Education to maintain course catalog information, classroom bookings, and staffing allocations.
  • Develops, reviews, and implements new administrative systems and processes. Performs support duties, where necessary. Updates supervisor on the status of projects and notifies supervisor of unusual situations;
  • Maintains, gathers, and analyzes data. Prepares information on program participation, budget, and evaluations;
  • Remains current on trends, compliance issues, regulations, guidelines, and tools regarding subject matter by accessing University resources; advises appropriate community members accordingly;
  • Contributes to unit goals by accomplishing related duties as required. Will occasionally provide team coverage for the office.
