Summary:
The College of Lake County is currently looking for an Office Associate, to join the Nursing Department. This position supports the health programs by providing support for the program-related functions: processing, organizing and tracking background checks and drug testing for students accepted into the health programs. Also tracks completion of health requirements for students enrolling in courses requiring completion prior to enrollment (NUR 110, PBT 110). Uses PeopleSoft, IDPH Health Care Worker Registry portal, IL State Police CHIRP system, WI Online Record Check System and general office software to carry out tasks. Ensures that health program brochures and websites are available and up-to-date by coordinating with Public Relations and other personnel. Schedules program information sessions, reserves rooms, and ensures they are advertised.

Regular Part-Time Board established positions earn Vacation and Sick Leave and Tuition waiver for CLC classes and Tuition Reimbursement for advanced degrees. In addition, employees are eligible to participate in the State University Retirement System (SURS)

Required Qualifications:
  1. High school diploma or equivalent.
  2. A minimum of two (2) years of office support or related experience.
  3. Proven ability to work effectively with individuals and teams from diverse backgrounds and professional responsibilities. Excellent oral and written communication skills. Ability to multi-task and work under pressure. Ability to adapt to changing priorities and schedules. Ability to work with confidential information.
  4. Proficiency in MS Word, Excel, PowerPoint.
  5. Ability to utilize computer technology to access data, maintain records, generate reports and communicate with others.
  6. Ability to work in a highly collaborative environment.


Desired Qualifications:
  1. Associates degree or higher.
  2. Advanced Microsoft office skills.
  3. Experience working with college students.
  4. Experience with database software such as PeopleSoft and/or Healthstream software.
  5. Bilingual in Spanish and English.

Pay Rate: $15.17/Hr.

Summary of Essential Functions:
Department Operations and Processes: 40%
  • Schedule and track completion of background checks for all accepted health program students.
  • Receive service company invoices and ensure payment with correct department allocations.
  • Schedule and coordinate fingerprinting at incoming Nursing student orientations every fall and spring semesters.
  • Provide updated material to Public Relations office to maintain accurate information on health program web pages and brochures.
  • Organize, schedule, and publicize information sessions for health programs. Reserve rooms for sessions.


Data Entry/Reporting: 40%
  • Provide reports to department chairs and faculty on status of student background checks.
  • Track completion of health requirements for students enrolling in courses requiring completion prior to enrollment (NUR 110, PBT 110).
  • Update student records in PeopleSoft to ensure enrollment requirements met for healthcare programs (info session attendance, meeting health requirements, health passports, etc.).
  • Update IDPH portal of student completion of the Nurse Assisting certificate program.
  • Annual review of tracking documents, updating and forwarding records.
Student/Customer Services: 15%
  • Manage the clinical requirements email inbox for the Biological and Health Sciences division
  • Answer inbound calls from current and prospective students regarding healthcare program requirements.
  • Guide students on filling out clinical paperwork properly and the process to become eligible for clinical education.
  • Assist with outbound calls to students to ensure timely completion of pre-clinical paperwork and giving clearance to register.
Other: 5%
  • Performs other related duties as assigned.
