Job Description
Montgomery College has an immediate need for a full-time Administrative Aide II in the Office of Academic Initiatives & Partnerships on the Rockville Campus. The typical work schedule is Monday-Friday, 8:30 am to 5:00pm. This is a non-exempt, non-bargaining, grade 19 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College.

This position provides administrative, technical and secretarial support to the Department of Academic Affairs on the Rockville Campus. Reporting to the Dual Enrollment Manager, the Administrative Aide II has duties that include but are not limited to:
- Provides day-to-day administrative support to the Dual Enrollment programs and staff. This includes providing office coverage for Dual Enrollment Program, greeting guests, answering phone, maintain the office email communication.
- Manages and verifies online student applications information entered into Banner.
- Coordinates with the Registrar’s office in processing student registration and updating student records.
- Manages billing and grant reporting for Dual Enrollment programs.
- Ensure that all student information is entered into Banner accurately. This includes student registrations and other required Banner processes.
- Serve as the liaison between departments, programs, students and the college community and the general public.
- Provide administrative, technical, and secretarial support to the unit.
- Facilitate administrative procedures related to the programs and services offered by the department, such as processing personnel and purchasing actions.
- Responsible for organizing and carrying out assigned office activities to include department events.
- Ensure website has accurate and timely information.
- High school diploma or GED including or supplemented by courses in word processing and office practices.
- Three (3) years of progressively responsible experience performing general office and secretarial duties including customer service.
- Knowledge of: office support procedures and practices; English usage to include spelling, grammar, writing styles and formats; mathematical computations and techniques needed to collect, organize, and report information/data in a narrative or statistical format; record keeping principles and procedures.
- Knowledge of PC hardware and skill in using PC software and office applications such as MS Word, MS Excel, MS Outlook, MS Teams, and Zoom.
- Ability to draft written correspondence, interact with the public and staff, and manage multiple projects.
- Ability to exercise confidentiality.
- Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.
- Associates degree
- Strong interpersonal skills
- Excellent communication skills, verbally and written
- Experience with software used for personnel, procurement, payroll, and budget management (such as Workday)
- Experience with administrative software used by higher education institutions (such as Banner)
- Experience working in a higher education office environment.
