The Campus Operations and Facilities Department at the Johns Hopkins Carey Business School is seeking aCampus Operations Manager. This position is responsible for assisting the Director and Associate Directors of Campus Operations with overall daily management of the facility and operational needs as well as establishing and maintaining a seamless support experience for students, faculty, staff and visitors of the Carey Business School. This role serves as a lead resource on complex matters related to the daily operation of the campus, provide prompt responses and resolutions to inquiries and requests. This position will make recommendations and implement policies and procedures to ensure efficient and effective business practices. This position will provide direct financial processing, analysis and data validation management for Carey’s Harbor East and DC locations. This role will require the ability to work a flexible schedule required, including routinely working early, evening hours, and occasionally working weekend hours when necessary.

Specific Duties & Responsibilities

Campus Operations Management ( 30%)

  • Collaborating with the Associate Director of Campus Operations to research and resolve a complex range of student and faculty service matters and provide a timely response.
  • Daily monitoring and maintaining multiple calendars and emails accounts address all questions and concerns regarding campus operations.
  • Supporting the implementation of operating policies and procedures that improve the effectiveness and efficiency of campus operations.
  • Establishing relationships with departmental liaison within the Carey Business School and JHU community.
  • Processing Jcard request and assist with deactivation request when applicable.
  • Collaborative coordination with HR, IT and Telecom for the onboarding and offboarding of faculty & staff.
  • Processing incoming and outgoing mail for the center including USPS, UPS, FedEx and various couriers. Ensuring that Envoy is utilized to track distribution. Monthly maintenance, funds upload, and departmental usage allocation to finance.
  • Developing best practice for maintaining multiple calendars and emails accounts to address all questions and concerns regarding campus operations.
  • Ensuring workplace safety issues are reviewed, resolved, and communicated to ensure a safe and healthy workplace and reduction in work related absences.
  • Coordinating and logistical planning for internal and external faculty and staff moves.
  • Managing Inventory for office supplies, coffee, and other operational/instructional supplies.
  • Providing logistical support for Campus Operations, Facilities, and Event Planning and Space Management.
  • Assisting and provide guidance to the Campus Operations Administrative Coordinator with daily campus operations assignments.


Administration (25%)

  • Creating and updating the Emergency Evacuation Plan and generates incident reports as necessary.
  • Updating and maintaining accurate floor plans, internal directory including modality, website and digital signage for all Carey Business School locations.
  • Monitoring space occupancy and providing space analysis reports.
  • Developing and updating the faculty information welcome packet which includes Harbor East and DC operating procedures, hours, and parking information.
  • Serving as assistant 25Live liaison for Carey Business School, by attending meetings in the Associate Director’s absence and special testing sessions for new versions.
  • Ensuring compliance with the university’s guideline for the Lactation Room and ADA standards.


Financial Support (30%)

  • Financial tasks include various activities specific to finance and accounting, budgeting, and reporting to produce accurate and dependable information regarding campus operations expenses.
  • Processing departmental invoices, purchase orders, rental invoices, and internal transfers to assure that the correct expenses are charged to the appropriate accounts in SAP.
  • Performing monthly reconciliations of BW reports, procurement card expenses, purchase orders, and invoices for designated accounts.
  • Completing monthly reconciliation for six budgets and assistance with budget projections.
  • Reconciling assigned accounts on a monthly basis and identify/resolve financial discrepancies.
  • Reviewing the approved expenses on departmental procurement cards on a monthly basis to ensure all charges are allocated appropriately.
  • Investigating variances, identify budget issues, and provide alternative solutions
  • Serving as backup for the Carey point of sale (POS) system, and processing departmental invoices.
  • Ensuring compliance and university regulations and restrictions.


Special Projects (10%)

  • Assisting departmental leadership with special projects as needed.


Miscellaneous (5%)

  • Other duties as assigned.

Special Knowledge, Skills & Abilities

  • Ability to interact effectively with staff and constituents in sometimes intense, emotionally charged situations.
  • Highly service oriented with strong interpersonal skills that enable incumbent to interact effectively with adult learners, current and prospective students, full-time and part-time faculty and the general public.
  • Ability to work collegially in close coordination with staff in core student and career services areas.
  • Interact with a diverse population and sensitivity to issues to ensure effective multi-cultural communication.
  • High degree of comfort with technology and professionalism when using electronic communication methods.
  • Must be able to set and manage multiple priorities, and respond quickly to changing needs and goals.
  • Strong working knowledge of all Carey divisions and programs or ability to quickly learn.
  • Strong working knowledge of electronic systems and databases including MS Office, SAP, Envoy, Entrust, and 25Live or ability to learn.
  • Ability to gather, analyze, report and make recommendations based on campus center enrollment and other data.
  • Working knowledge of SAP and how to process invoices, purchase orders, and prepare financial reports. Utilizing Excel to prepare detailed budget summaries monthly to review accounts.
  • Strong oral and written communication skills.
  • Highly attentive to detail.


Minimum Qualifications
  • Bachelor’s Degree required.
  • 5+ years of progressively responsible management experience; supervisory experience.


Preferred Qualifications
  • Experience providing student, alumni and/or faculty services in an academic environment.
  • Higher education administrative experience, preferred.

Starting Salary Range: $52,230-$71,890-$91,550 Annually (Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
