Job Summary
Reporting to the Director of Global Safety and Operations, and working closely with the Senior Director of Education Abroad and the Executive Director of Finance and Administration in the Office of the Provost, the Business Coordinator performs a variety of functions related to business operations in support of the activities and functions of the Office of Drexel Global. These functions include but are not limited to procurement, billing, payment management, journal entries, data reporting on Drexel Global activities and financials, and other administrative support functions. The position will be responsible for the fulfillment of established University and departmental policies and procedures to ensure appropriate compliance, fiscal controls, fund stewardship, and fiscal accountability
Essential Functions
- Possess excellent project management, organizational, and interpersonal skills.
- Knowledge of Microsoft Office tools.
- Detail-oriented and able to multitask.
- Financial experience required.
- Ability to function independently as well as work collaboratively as a member of a team.
- Knowledge of Web Finance, Web Salary, Banner, Hyperion, and other Drexel University financial management tools a plus.
- Possess strong customer service focus.

The position will be responsible for the fulfillment of established University and departmental policies and procedures to ensure appropriate compliance, fiscal controls, fund stewardship, and fiscal accountability
Essential Functions
- Advise Drexel Global team on spending, financial objectives and projections, and policies of all affiliated units.
- Handle purchasing, memberships, and contracts for Drexel Global, and work directly with Procurement, Accounts Payable, Tax, and Office of the General Counsel as needed.
- Ensure invoices and transactions are properly submitted and monitored in financial systems such as Banner, Smart Source, Web Finance, Web Salary by daily analysis. Act as the Smart Source approver for Drexel Global travel awards, Education Abroad provider contracts/invoices, new supplier requests and originator of check requests/manual orders.
- Submit and track check requests with Accounts Payable for non-USD currency invoices, including liaising with international vendors to ensure timely payment.
- Process journal entries for budget and salary transfers, fund transfers, transaction corrections.
- Review monthly P-Card statements for compliance with University policies
- Submit and monitor travel expenses and reconciliations through Concur for faculty-led Intensive Courses Abroad, providing guidance to faculty throughout the process.
- Prepare and manage administrative documents related to PageUp, EPAFs, fund creation, payroll, system access, and other operational requirements as needed (e.g., Personnel Action Forms, Payroll Resolution Forms, Authorization to Hire forms, Web Finance access forms).
- Provide centralized data management/reporting on Drexel Global activities (enrollment, scholarship, awards, etc.) including: quarterly enrollment numbers, risk management data, world travel data, college/departmental requests as needed.
- Serve as point of contact with General Accounting, Accounts Payable and Procurement, Human Resources, Office of Institutional Research, Assessment and Accreditation, Office of General Counsel, Office of Tax Compliance, etc.
- Manage TouchNet system to facilitate student payments for Education Abroad.
- Manage Travel Registry reporting as needed.
- Other duties as assigned.
- Bachelor’s Degree or Equivalent
- A minimum of 3 year’s experience
