Job Duties

To facilitate the operational services for the Office of the Provost as determined by the University’s strategic and business needs, in conjunction with Commonwealth of Virginia policies and procedures. Supports the initiatives for those departments who report to the Provost in accordance with Commonwealth, Federal, Board of Visitors, Presidential and University polices, goals and objectives.

This position performs a variety of office functions, coordination of services and programs, general support and expertise under the leadership of Executive Vice President & Provost.

Minimum Qualifications

Demonstrated ability to organize and work independently and efficiently.
Demonstrated considerable knowledge of budgetary and Commonwealth’s Procurement policies and procedures.
Demonstrated ability to analyze fiscal transactions for conformity, and make independent decisions.
Demonstrated skillset and ability to collect, assemble and process information.
Demonstrated ability to provide professional communication effectively, orally and in writing. Demonstrated general knowledge of Human Resource policies and procedures.
Must demonstrate proficiency in Microsoft Office Suite, Possesses working knowledge of BANNER Student and BANNER Finance or related administrative software.
Demonstrate ability to work independent and with others.
Must demonstrate strong management skills, Excellent mathematic, and grammar skills.
Graduated from an accredited college/university or equivalent combination of experience or training.
•Minimum of two years working experience in a higher education or public education setting.
•Considerable knowledge of automated office management, office procedures, automated filing systems and database functions.
•Experience of the operations of Virginia state government and/or higher education environment.
•Considerable experience using eVA Procurement System and the ability to understand the Procurement laws(Virginia Public Procurement Act).
•Demonstrated ability to manage and monitor a departmental budget accurately.
•Able to analyze large sums of information/data and organize in an efficient manner and apply policy to respond to routine administrative matters on behalf of the Office of the Provost.
•Demonstrated ability to work independently and with others; to communicate effectively both orally and in writing; to perform routine quantitative and narrative reporting.
•Must be able to manage a busy office providing routine information services to clients; to interpret policies; to draft, write and explain practices and procedures and instructions, conduct research if needed and formulate recommendations and guidance
•Demonstrated advanced use of Microsoft Office Suite (especially proficient in Excel and Word), able to perform functions such as mail merges, tables, macros, etc.
•Lookup data in automated systems.
•Experience with procurement procedures; solid math and general accounting principles knowledge; must be able to obtain a small purchase card

Preferred Qualifications:

Experience assisting with projects of a technical or procedural nature
Advanced computer skills such as graphic software - Adobe, Visio, etc. to produce technical documents
Knowledge of automated systems such as Banner
Experience with eVA procurement process
Experience with managing and monitoring office budgets
