Position Purpose
The Program Coordinator in the Undergraduate Deans Office holds a pivotal role in coordinating and implementing various processes related to enrollment, academic status management, and records management for the undergraduate student population. By ensuring the timely and accurate administration of college policies and processes, they support the overall functioning of the Undergraduate Deans Office and contribute to the success of students and the institution as a whole.

Bachelors plus 3-5 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
- Bachelor’s degree or the equivalent combination of education and experience and 3-5 years’ experience.
- Three to five years of database administration, project management, or other relevant experience, with increasing autonomy.
- Strong organizational skills and ability to respond appropriately to pressures, deadlines, and changes in priorities and schedules.
- Initiative, sound judgment, and ability to work independently and collaboratively in an office setting. Ability to interact with others with a high level of discretion, tact, and diplomacy.
- Computer proficiency in Microsoft Office Suite, Outlook.
- Demonstrated commitment to serving the needs of a diverse population.
• Experience with student information management systems, including Banner and OnBase.

Key Accountabilities
Description
Responsible for developing and implementing protocols for student enrollment and academic status, as well as managing data in strict adherence to applicable faculty, student conduct, other Dartmouth working rules, and FERPA regulations. Meticulously inputs data with integrity, conducts audits and analysis, and utilizes expertise to identify inconsistencies and ensure precision.

Description
Generates and delivers a range of reports. Responsible for producing termly reports for the deans, which include caseload reports, and reports on academically at-risk students. Collaborates closely with colleagues in Systems Technology, develops new reports as needed, including fulfilling requests from the UDO Director and the Associate Dean of Student Support Services to create customized reports on historical data that provide essential insights for decision-making.

Description
Responsible for managing the termly Incomplete process, which involves coordinating with students, faculty, and the undergraduate deans to ensure that Incomplete agreements are completed accurately and filed with the Registrar’s Office, and subsequently tracks and reports final grades. Additionally, collaborates with the UDO and the Registrar’s Office to identify areas for improvement in the Incomplete process.

Description
Manages complex communications for the UDO regarding student case matters and maintains a portfolio of key external communications, including email communications to faculty, students, and families/supporters, and office forms and procedures. Manages the UDO website.

Offers direct administrative support, encompassing the efficient management of diploma production and distribution, as well as the planning and execution of various programs and events. Ensures meticulous handling of Bar and Dean Certification requests in strict accordance with FERPA guidelines.
