Duties of Position: Responsible for the overall direction and management of all administrative and operational functions of the Office of the Registrar, including but not limited to development and implementation of a Central Processing Center for the Enrollment Services division. Provides leadership, administrative oversight, and direction to the areas of Registrar Services Collaborates with the Associate Provost, Deans, Information Technology and College Administrators to ensure the integrity, accuracy, and security of all academic records of current and former students. The Registrar also facilitates effective student registration and enrollment; builds secure student data files and sets policy and procedure for their responsible use; maintains up-to-date catalogs and manages efficient use of technology including Banner, and the degree evaluation system. The Registrar manages the processes for the articulation of transfer credits, graduation and certification of associate degrees, certificates, enrollment and degree verification, production of official transcripts, diplomas, and assists with coordinating the Commencement Ceremony.

Manages and directs the operation of Office of Registrar and Records, the One Stop, and the Admissions Processing office in accordance with federal, state, and local regulations and guidelines. This includes providing active leadership in the development and management of the operational budgets assigned to the Office of Registrar.

Collaborates with administrators, Deans, faculty, IT and advisors to facilitate and improve services to students, including catalog and registration/records policy questions.

Serves as the College’s Athletic Certifying Official. This requires working collaboratively with assigned athletic department leadership staff to support an effective and efficient system for certifying NJCAA student-athlete eligibility.

Hires, manages and provides leadership to all staff in the One Stop and Admissions Processing Center. Responsible for establishing and maintaining the highest possible levels of customer service through training, motivation and managing staff assigned to both areas.

Organizes and administers records, registration and graduation functions, including transcript evaluations, degree certification processing, academic transcript processing in order to provide maximum service to students while ensuring efficient and effective workflow.

Serves as the FERPA officer for the college, which involves supervising the security and maintenance of student academic files and other protected information, both physical and electronic. In addition, regularly provides FERPA information and training to identified college staff, stakeholders, and partners.

Oversees faculty midterms and grading/end of term processing and responsible for ensuring accuracy of these records each semester.

Responsible for administering and developing procedures for midterm verification and subsequent reporting of data which is directly tied to state funding.

Manages the implementation of College policies regarding release of student information, registration deadlines, refunds, and priority registration.

Leads the coordination, evaluation and certification of all graduation applications, and is responsible for the coordination of the college graduation ceremony.

Oversees the college Appeals Committee and problem solves the research, analysis and resolution of student disputes and conduct issues as they relate to records and registration.

Oversees the implementation of the automated degree and certificate initiative whereby students who are near completion of degrees and certificates are contacted in order to increase the college enrollment and graduation rates.

Responsible for leading the college Catalog and Student Handbook Committee and adhering to policies and procedures set forth to publish the catalog.

In coordination with Information Technology, identify, develop, implement, and manage technology systems and tools to support student processes (i.e. registration, degree audit, transcript request/distribution, etc.). Identify and support training and development initiatives for college staff that builds knowledge, innovation, and student service efficiencies.

Maintains current knowledge of relevant processes and procedures, resources and policies and shares this knowledge appropriately and accurately with staff.

Participates in professional development activities to ensure updated knowledge of policy interpretation and their alignment with college procedures and administrative practices. Serves on college committees that support the goals and objectives of the division of the college. Leads initiatives as determined by the Associate Provost.

With support and direction from the Associate Provost, initiates and follows through on goals and activities identified in the College’sStrategic Enrollment Plan(SEP) This includes collaborating with college leadership staff to deliver operational procedures and processes that result in high-quality service outcomes for students.

Manages the college’s response to information requests to ensure they are dealt with efficiently and in line with college policy and procedures as well as Federal, State, and Local regulations.

Develops and conducts training programs, business processes and workflows specific to Records, Registration, One Stop and the Processing Center.

Administers yearly staff performance evaluations and ongoing staff development.

Develops and administers the departmental budget.

Performs related duties as assigned.

Educational Requirements: Bachelor's degree in education, project management, communications or related area. Master’s degree preferred.

Experience Requirements: Three years of experience in higher education in student advising, student affairs or enrollment services. Strong organizational, written and verbal communication skills required. Experience in managing projects with specified goals, objectives and timelines required. Evidence of ability to manage budgets effectively required. Past experience with supervision required.
