The Pathology Department is seeking aBilling Coordinatorwho will be responsible for the collection of unpaid third-party claims and appeals, using various applications of JHM and JHU/ PBS billing applications. The Billing Coordinator will work with the payers to resolve issues and facilitate prompt payment of claims. They will follow-up with insurance companies to collect outstanding accounts for which payment has not been received in response to the claims submission process, either electronically or by paper. Experience in Pathology billing preferred. The Specialist will be assigned payor groups of outstanding patient accounts. Various methods of follow-up will be used including all JHU/ PBS Billing Applications. The Specialist must have expertise in insurance follow-up processing and be knowledgeable in CPT and diagnosis coding as well as have an understanding of the JHOC registration process and be able to recognize and resolve incorrect demographic and insurance registration. The Specialist must have an understanding of claims submission requirements for all payors to expedite payments as well as knowledge of appeals and rejections processing.

Specific Duties & Responsibilities


  • Uses A/R follow-up systems and reports to identify unpaid claims for collection/appeal.
  • Gathers and verifies all information required to produce a clean claim including special billing procedures that may be defined by a payer or contract.
  • Review and update patient registration information (demographic and insurance) as needed.
  • Applies appropriate discounts / courtesies based on department policy.
  • Prints and mails claim forms and statements according to the follow-up matrix.
  • Retrieves supporting documents (medical reports, authorizations, etc.) as needed and submits to third-party payers.
  • Appeals rejected claims and claims with low reimbursement.
  • Identifies insurance issues of primary vs. secondary insurance, coordination of benefits eligibility and any other issue causing non-payment of claims.
  • Contacts the payors or patient as appropriate for corrective action to resolve the issue and receive payment of claims.
  • Monitor invoice activity until problem is resolved.
  • Process daily mail, edits reports
  • Identifies and informs the supervisor / Production Unit Manager of issues or problems associated with non-payment of claims.

Technical Knowledge

  • Comprehensive knowledge and compliance of HIPAA rules and regulations in the dissemination of patient Protected Health Information (PHI).
  • Working knowledge of JHU/ EPIC Billing Applications.
  • Utilize online resources to facilitate efficient claims processing.

Physical Requirements

  • While performing the duties of this job, the employee may remain in a stationary position (mostly seated) up to 80% of the time. Occasionally required to traverse throughout the work area or to retrieve supplies or mail/documents from other locations. The employee is required to operate computer keyboard, mouse, calculator, and phone 80% of the day additional duties may require opening envelopes, removing or applying staples, processing mail, requiring finger dexterity and some repetitive motions.
  • Prolonged vision requirements including ability to see/viewing computer screen, paper reports/documents, charts.
  • Position requires frequent use of the telephone, while multi-tasking to retrieve or review information from the computer in order to assist callers quickly and confidentially. Must be able to communicate using the spoken and written word in a clear, concise, and professional manner. Able to hear within normal range.
  • May transport materials usually less than 20 pounds from one area to another; may be required to lift and/or move up to 40 pounds with proper training, or precautions/lifting aides (example: file boxes, copier paper, mail bags). In some areas workspace is confined, may work in an open workstation or cubicle.
  • Staff may be required to complete annual competency review, and must ensure compliance with Hospital Policy, Laboratory Policy & Procedure, Health, Safety & Environment regulations, and all applicable privacy & confidentiality laws/practices.
  • Johns Hopkins School of Medicine – Clinical Operations - Required Attendance position, in the event of unexpected university closings including inclement weather or declared emergency, the employee in this position may be required to report to work and/or remain at work and may be required to work additional hours.


Minimum Qualifications
  • High school graduation/GED.
  • One year experience in a medical billing or similar medical specialty environment.
  • Knowledge of medical terminology, CPT codes and diagnosis coding.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Ability to use various billing and patient information computer systems.
  • Ability to use EPIC computer systems preferred.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
