Title: Grant Coordinator

Position Purpose:

RIOS envisions a future with widespread adoption of open education resources and practices across STEM higher education that embraces anti-racism, equity, and social justice. The institute will provide a collaborative infrastructure with socially-just and anti-racist professional development, resources, expertise, working groups, and leadership opportunities that will accelerate systemic change in STEM education. We are a leadership team with directors and staff across the country, but the RIOS managed through Bates College. We seek to add a new full-time staff member to our team to support our efforts to promote STEM education change. This position currently has an expected end date of 4/1/24, but is renewable beyond this date, subject to continued funding.

Job Duties:
  • Provide administrative support to the RIOS Institute Leadership Team such as meeting notes, tracking project management, reimbursement forms, and hiring forms.
  • Support RIOS activities, with a focus on administrative support for activities centered at Bates College, virtual and on campus event support, and other special projects.
  • Assist the co-Directors of the RIOS Institute in the organization and administration of special projects.
  • Organize logistics and manage communications with participants for virtual and in-person events sponsored by RIOS Institute.
  • Work with Dr. Carrie Diaz Eaton to set agendas for Leadership team meetings and administrative meetings.
  • Attend meetings of the Leadership team (virtual), the Admin team (virtual), PI, and other meetings in-person or virtual as needed.
  • Assisting in formatting and submission of manuscripts and grants.
  • Assist in budgeting of current and future grants.
  • Assist in grant reporting requirements as appropriate.
  • Monitor rolling applications for Working Groups and report new applications to the Directors at Admin meetings.
  • Manage Working Group applications including pre-and post-award budgeting.
  • In coordination with the Office of Sponsored Programs and Research Compliance (SPaRC) and other offices at Bates, track grant budget(s) and submit and track payment requests and invoices.
  • Communicate with facilitators of Learning Communities and Working Groups, and other special project participants primarily related to dissemination of funds, such as drafting contracts, and interfacing with Leadership Team and Bates College as necessary in that process.
  • Other duties as needed.
Minimum Qualifications:

Education

Two years of postsecondary education is required. Bachelor's degree preferred.

Experience
  • Experience planning events, including related budgets and communications.
  • Demonstrated ability to work productively in a diverse environment.
  • Demonstrated commitment to diversity and inclusivity and to serving the needs of a culturally and educationally diverse and inclusive community with diplomacy and tact.
  • Preferred: Experience working successfully in a multi-disciplinary academic and research environment.
  • Preferred: Experience in grant management, administration, or comparable experience.
  • Preferred: Experience with higher education, open educational resources, open source software, and/or open science frameworks.
Skills and Knowledge
  • Commitment to equity and inclusion, and serving the needs of a culturally and educationally diverse community.
  • Excellent communication (written, verbal and presentation) skills.
  • Strong organization and project management skills.
  • Strong fluency in spreadsheets, specifically Google Sheets.
  • Timely responsiveness to emails.
  • Professional communication skills including virtual meetings, in-person event planning, writing, and science communication.
  • Familiarity with Google Drive, and a willingness to learn new technological tools required.
  • Ability and inclination to handle details accurately.
  • Ability to work independently and handle multiple priorities with minimal supervision and within established guidelines.
  • Must be flexible, collaborative and have a positive attitude.
  • Preferred: Ability and willingness to occasionally work weekends or evenings as needed for special events.
  • Preferred: Ability and willingness to travel (by car, air, train or bus) domestically and internationally as needed for special events.
  • Preferred: Excellent analytical and problem solving skills; ability to synthesize complex or diverse information.
