Job Description
The AP Audit Coordinator position will, in regards to travel advances and reimbursements, perform daily compliance audits, assist the campus community, add new vendors, and perform timely and accurate data entry. This position will also process credit card transaction audits.
Qualifications
Associate’s degree or equivalent 2 or more years experience in a business setting. Experience in higher education is highly beneficial.
Job Specific Qualifications
2 or more years of experience in a business setting, experience in higher education preferable; proficient with Microsoft applications, oral and written communication skills, and well-developed analytical skills.
Responsibilities
Performs daily compliance audit of employee, non-employee and student travel vouchers for the University. Address and communicate with departments any policy infractions and improper procedures that may have occurred as well as obtain missing documentation. (Includes both paper process and new Automated T&E system process)
Add new travel vendors into system: enter vendor name, short name, address, phone number, contact, tax ID number, citizenship or vendor type, email address, handling codes and payment terms for each new vendor. Employees are entered with their SUID number as an identifier and non-employees are entered with a system-defined PeopleSoft number. All new vendors default to unapproved status and are forwarded to a Supervisor for vendor review and approval prior to payment
Timely and accurate entry of travel vouchers. Ensure vendor name, address and amount entered into system agrees with supporting documentation.
Audit of Payment of Professional Services by Non-Employee Consultant forms. Determine residency status and forward for international tax review if necessary
If necessary, function as a backup for audit of credit card reconciliation review for staff and faculty
