Job Description

The Division of Student Success at UMKC is looking for an Office Support Assistant to join our Academic Advising team.

Roo Advising is UMKC’s centralized advising model. Roo Advising is a proactive, personalized, and comprehensive advising experience designed to ensure students understand the requirements for their chosen degree programs and have a clear path to graduation. Roo Advising is comprised of five (5) Major Academic Paths:
  • Arts & Cultural Studies : Art History, Communication Studies (Film and Media emphasis), English, Film and Media Arts, Languages and Literatures (Classical, French, International Studies, Spanish) and Studio Art
  • Exploratory/FLEX : Undecided and Visiting Non-Degree
  • Human Behavior, Education & Justice : Communication Studies, Criminal Justice and Criminology, History, Liberal Arts, Philosophy, Political Sciences, Psychology, and Sociology (Anthropology).
  • Business & Management : Accounting, Business Administration and Economics
  • Numbers, Engineering, Technology & the Cosmos : Earth and Environmental Science, Environmental Studies, Mathematics and Statistics, Physics (Astronomy), Civil Engineering, Computer Science, Electrical and Computer Engineering, Information Technology, Mechanical Engineering, Urban Planning and Design and Urban Studies
  • Natural & Health Sciences : Biology, Chemistry, Dental Hygiene, Health Sciences and Nursing, and Pre-Professional Health and Law Programs

Responsibilities include, but are not limited to:
  • Delivering an exceptional customer service experience and upholding departmental service standards.
  • Fostering an inclusive atmosphere in a dynamic office that supports the success of students, academic advisors, and student workers.
  • Maintaining confidentiality of student and employee records and related processes
  • Recruiting, hiring, training, supervising, scheduling and managing payroll for Federal Work Study employees (12 employees), including participation in Federal Work Study employment fairs in Fall and Spring terms,
  • Developing and maintaining training and onboarding materials for Federal Work Study employees.
  • Developing and maintaining operations manual for front desk staff.
  • Serving as the primary office receptionist at main Roo Advising checkin location, greeting and assisting students in person and by phone, responding to and routing email and phone calls.
  • Keeping call handler messaging updated.
  • Answering voicemails received to the main Roo Advising phone line.
  • Serving as primary contact with MAP Managers and advisors regarding front desk operations/reception processes.
  • Managing Starfish Connect virtual Kiosk traffic, ensuring students are in the correct queue, and communicating with advising staff via Teams to manage student traffic.
  • Managing Starfish Connect reserve appointments and communicating appointment details with advising staff.
  • Providing information, assistance, and support to current and potential students to ensure their fulfillment of educational goals
  • Monitoring and managing Microsoft Teams channels relevant to position including Kiosk
  • Assisting with student check-in in assigned office location and in other locations as needed to ensure appropriate coverage.
  • Creating and updating content for Roo Advising Pocket Guide for all areas of responsibility.
  • Special projects and other duties as assigned
Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications
  • Associate’s or bachelor’s degree
  • Work experience in higher education
  • Work experience with students and student records and processes
  • Work experience of supervising others
  • Knowledge of human resources and equal opportunity employment practices
  • Proficient knowledge of PeopleSoft, Starfish, SLATE, Adobe, Cascade, and Microsoft Office including Teams, Excel, Word, and Outlook.
  • Willingness to learn new programs and procedures
Full Time/Part Time

Full-time, benefitis eligible

Salary

Pay range is $15.00 - 18.00/hr commensurate with experience and education.

Shift

The Front Desk Operations Specialist must be available to work in person Monday through Friday from 8am-5pm. Summer Orientation during the months of June and July may require occasional weekend work on Saturdays.
