Department Summary

The Dean's Office in the College of Design supports the academic and professional training programs of the School of Architecture and the Environment, School of Art and Design, School of Planning and Public Policy and Management, and the Department of the History of Art and Architecture. The Dean's Office is comprised of seven primary support offices: Dean's Office UO Design Development, Communications, Student Services, Technology Services, Facilities Support Services, and the Portland programs. The Dean's Office administers the College of Design's mission to educate and support the approximately 1800+ student majors as they work toward the completion of their professional degrees.

Position Summary

The College of Design Dean's Office seeks a detail-oriented, adaptable, organized, and communicative individual to provide high-level business coordination for our academic and development support portfolios.

The Business Coordinator will be responsible for a broad set of assignments related to the Dean's Office academic and development portfolios. This position will require the ability to work independently, demonstrate sound judgment, and exercise creative problem-solving skills while providing high-level administrative and business coordination to multiple areas in the Dean's Office. This will include supporting scheduling, travel, human resources, event support, and financial operations for five units, and will also coordinate work with staff in our professional schools. They will interact regularly with external constituents, administrative colleagues, faculty, and students. The coordinator will respond to routine and non-routine situations, coordinating the execution of the priorities of the dean's office and interpreting policy and procedure to support the business operations. The Business Coordinator will have excellent attention to detail and the ability to complete job duties with high levels of accuracy.

This position will report directly to the Assistant Dean and will play an essential role in a growing team that is critical to the success of operations and events in the Dean's Office.

Minimum Requirements

  • Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations;
    OR
  • an equivalent combination of training and experience.

    One year of postsecondary education may be substituted for up to one year of the experience.

  • Proficiency with software programs including MS Office Suite and Adobe.

    Preferred Qualifications

  • 1+ years of project management experience related to business or finance administration in higher education, research organizations, or a related environment.
  • 1+ years of experience with Accounts Payable and Accounts Receivable.
  • Experience providing customer service in a professional environment.
  • Bachelor's degree.
  • Proficiency with software programs such as HRIS/FIS platforms, Zoom, Qualtrics, and/or InDesign.
  • Experience with BANNER, Concur, and/or similar financial information systems.
