  • This position is posted as Cashier, which is a working title. The NAU system title for this position is Accountant.
  • This position is an on-site position which requires the incumbent to complete their work primarily at an NAU site, campus, or facility with or without accommodation. Opportunities for remote work are rare.
  • Office environment is indoors, located on the Flagstaff Mountain Campus. This position will occasionally be expected to work outside of normal working hours.


Job Description

The Accountant is a Cashier position in the Student & Departmental Account Services. This position is vital to our cashiering area. The positions is responsible for taking in majority of incoming payments from students, parents and departments across campus. This position resolves any payment discrepancies and is a direct contact for departments and the Reimbursement Processing Support team. This position provides stability to the cashiering area by providing clear communication between staff members to ensure a smooth and efficient workflow. This position works directly with student employees in all aspects of cashiering. In addition, this position assists the Cashier Lead with training new student employees, providing guidance regarding process and customer service.

The Accountant position is also responsible for the Sponsored Accouts Receivable payment processing. This is a position that works directly with Sponsored Projects and Financial Accounting Services to ensure deposits are applied to invoices in the Account Receivable module in Peoplesoft Financials (PST) on a daily basis. This involves researching and ensuring payments are posted correctly. This is a vital position that deposits essential funds for the university.

Posting payments/resolution of account issues/Customer Service - 40%
  • Receives and pays out money and performs the more specialized or advanced teller functions such as university department transactions, post student payments, balance and prepare bank deposits and balance reports.
  • Records and balances daily deposits and university department transactions.
  • Inputs transaction data to computer system and /or review computer reports to ensure accuracy, adjust or corrects errors.
  • Follows established procedures for authorization of certain specified transactions.
  • Applies incoming deposit/payments using a variety of accounts, balances deposits, payments and receipts.
  • Researches unidentified account transactions, makes sure any necessary adjustments are completed.
  • Assist other cashiers in resolving difficult or complex problems; provide basic guidance and leadership to other cashiers.
  • Provides a variety of customer service tasks to students, parents, and departments, which may include providing account balances, tracking deposits and various record changes.
  • Maintains and accounts for cash drawer and daily transactions; resolves or reports discrepancies.
  • Assists NAU departments and Reimbursement Processing Support team with deposit issues.

Accounts Receivable (AR) Sponsored Projects - 45%
  • Processes AR sponsored deposits within the accounts receivable system.
  • Works closely with Financial Accounting Services and Accounts Receivable team with AR Sponsored projects to ensure that incoming checks and electronic payments are properly identified and accurately posted in a timely manner.
  • Work with customers to research and properly apply non-matching payments.
  • Reconcile the general ledger cashier clearing account to ensure deposits are properly recorded and agree to the unapplied payments within the Accounts Receivable System.
  • Run reports to analyze and monitor accounts receivable activity and ensure payments are applied correctly.
  • Assist in researching unclaimed EFTs.

Tracking - 10%
  • Maintain up to date documentation for cashiering processes.
  • Acquire and maintain up-to-date knowledge of the Student & Departmental Account Services policies and processes for answering inquiries by either phone, email or in-person.
  • It is also necessary to have a working knowledge of policies and services offered by departments with whom the Student & Departmental Account Services works most closely, e.g., Financial Aid, Registrar, Undergraduate and Graduate Admissions, Center for International Education and Reimbursement Processing Team.
  • Identify and recommend opportunities for process improvements within area of responsibility.

Minimum Qualifications

  • High School diploma;
  • 1-2 years of accounting experience.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.


Preferred Qualifications

  • Associates or Bachelor's degree.
  • Accounting experience in higher education.
  • Working knowledge of PeopleSoft and PeopleSoft Financials.
  • 2-3 years banking experience.
  • Basic computer skills i.e. Microsoft office system.
  • 2-3 years customer service experience with the ability to clearly communicate with diverse population.
  • Demonstrated ability to work in a professional environment with strong communication skills.

  • Knowledge and methods of handling money, receipting and maintaining records.
  • Knowledge of basic math.
  • Knowledge of basic teller functions and transaction.
  • Skill in counting, receiving and disbursing money.
  • Skill in applying control procedures and accurate calculation.
  • Skill in meeting and dealing with the public.
  • Ability to effectively communicate.
  • Knowledge of general account receivable functions.
  • Knowledge of accounting principles, practices and procedures.
  • Knowldege of preparing detailed numerical computations.
  • Skill in preparing detailed reports on a timely basis.
  • Ability to build a strong working relationship within the department, across the university and with outside agencies.
  • Ability to work effectively with people from a variety of culturally diverse backgrounds.


Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary budgeted at $40,607.

FLSA Status

This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.

This is a Classified Staff (CLS) position.
